Administrator / Administration Assistant / Receptionist with excellent administrative, organisational and time-management skills is required by a well-established Company based in Sale, Greater Manchester, North West England.

** Full-Time and Part-Time Applications Considered **

SALARY: £18,000 - £20,000 pro rata + Benefits

FULL-TIME WORKING HOURS: 8:30am – 5:30pm, Monday - Friday

PART-TIME WORKING HOURS: Flexible hours, although you would need to work Monday - Friday

KEY REQUIREMENTS: Candidates will need Advanced Knowledge of Microsoft Office Applications (MS Word, Excel and PowerPoint) with proficient typing skills. You will also need excellent organisational, time-management skills with the ability to work to a high level of accuracy.

JOB OVERVIEW

We have a fantastic new job opportunity for an Administrator / Administration Assistant / Receptionist that has excellent administrative, organisational and time-management skills.

Working as the Administrator / Administration Assistant / Receptionist you will provide administrative support to the Company’s UK Shared Services Team.

As the Administrator / Administration Assistant / Receptionist you will act as a contact point for both internal and external customers whilst providing a wide range of administrative support to the Team.

As the Administrator / Administration Assistant / Receptionist you must be proactive, resourceful, adaptable, outgoing and should be able to work independently in a fast-paced environment. You will need strong written and verbal communication skills with the ability to multi-task. The position also requires a high level of responsibility, professionalism and judgment due to the confidential nature of the support given. It is critical that you are able to manage both routine day-to-day office duties whilst prioritising against more complex or business critical support tasks.

DUTIES

Your duties and responsibilities include:

  • Maintain an auditable administrative process for all mobile phones, ensuring records are accurately recorded including monthly bills
  • Manage the UK car fleet, including all Insurance and driver details are correctly recorded
  • Arrange hire cars including providing the HR team with an auditable monthly spreadsheet for any traffic related offences
  • Maintain regular contact with all third party suppliers and ensure the Shared Service Centre operates without fail - Including Property, Facilities, Communication Suppliers, Pest Control, Office Supplies
  • Arrange for all new drivers to attend an AA Drivetech course once probation period is completed
  • Administration relating to the safe secure effective operation of the Shared Service Centre
  • Ensure all documentation relating to new starter screening, CRB / DBS and policy checks are coordinated and updated
  • Screen incoming correspondence and prioritise sensitive items for immediate review within Shared Services
  • Maintain a responsible approach to all security and safety matters related to the operation of Shared Services following the company’s policies and procedures at all times bringing the Manager's attention to any and all areas of concern inclusive of Health and Safety and ISO requirements
  • Administrative assistance for the UK VP as and when required
  • Assist with cash application as and when required
  • Identify new Suppliers to Shared Services that may offer an enhanced service or reduce cost with no degradation to existing service provided
  • Proactively ensures appropriate office supplies are ordered and maintains an auditable stock control process inclusive of cost control.
  • Maintain an auditable petty cash process within the Shared Service Centre
  • Ensure timely and effective communication to the Centre for all business and site communications
  • Work closely with all stakeholders to co-ordinate key business projects to ensure a quality product is delivered within agreed timescales
  • Communications including e-mail, conference calls, fielding phone calls etc.
  • Accurately maintain filing system of confidential information, various presentations and documents
  • Ensure that sensitive information is properly retained and backed up for the use of the business

IDEAL CANDIDATE REQUIREMENTS

  • Advanced knowledge of Microsoft Office Applications (MS Word, Excel, and PowerPoint) with proficient typing skills - focus on speed and accuracy
  • Time-management skills and ability to assess the relative importance of tasks due to a varied workload and numerous timely requests
  • Ability to handle many changes in priorities and work schedule
  • Excellent interpersonal, organisational, administrative and written and verbal communication skills
  • Ability to maintain discretion and confidentiality at all times
  • Autonomy and ability to work well under pressure in a fast-paced, changing environment
