Our client, a very successful Dealership based in Aldershot, is seeking a Sales Administrator to join their existing team.
Reporting to: Financial Controller
Job Function: To ensure correct invoicing procedure and maintain vehicle files to all audit requirements.
Key Performance Indicators:
To ensure a dealerships vehicle sales are invoiced in an appropriate timescale, with necessary paperwork completed.
To set up used vehicles into stock on a timely basis.
To ensure deal files fully comply with audit requirements (Internal/FCA/GM).
To complete book packs for all sold new cars/demos.
To ensure invoices are not raised unless deal file fully complies with audit requirements.
To set up used vehicles into stock on a timely basis.
Job Processes:
To check file for correctly completed for signed order, FCA parts 1&2, HPI, used vehicle declaration and paperwork required for audit compliance (e.g. Partners proofs).
To set up used vehicle records in line with company requirements, passing payment requests to accounts as appropriate.
To invoice new, used and trade vehicles and bring in any part exchanges.
To register all retail cars with VMC.
To register all warranty, GAP and Refresh policies.
To ensure accurate recording and processing of courtesy cars, pre-registered and demonstrator vehicles.
To complete book packs for all sold new cars/demos.
Maintain accurate filing (including splitting of files).
To comply with company Health & Safety Policy.
To carry out any other duties as may be reasonably expected in accordance with the position.
This role would suit an Administrator, Sales Administrator, Sales Support Administrator.
Full training will be given.
