Job Title: National Accounts Sales Co-ordinator

Outline of the Role

Responsible for the management of the National Accounts administration. The role must ensure the accurate and timely ordering, stock control and invoicing of all machines and attachments, the structured raising of job cards and the management of logistics for receipt and delivery of machines in accordance with company quality procedures and statutory requirements for Greenshields JCB’s National Accounts.

Key Responsibilities

  • Plan, monitor and prioritise the activities of the National Accounts sales administration function.
  • Create standard specifications for machine models as advised by Account Manager(s)
  • Receive and review all machine sales order details from Account Manager(s), checking for completeness, accuracy and compliance with company standards and procedures.
  • Process orders of new machines via SAP (JDS)
  • Advise Account Manager(s) of any inaccuracies involved in the pricing.
  • Advise Account Manager(s) of any difficulties with supply of machines and additional cost items.
  • Report unresolved deal variances and ensure to relevant Account Manager and Commercial Director/Finance Controller are informed of such matters.
  • Co-ordinate operations at PDI depot (parts orders, PDI priorities, engineer requirements, deliveries etc)
  • Ensure transport/invoice documents, payment/credit authorisations and rental/loan/demo documentation are in order before machines are released for delivery.
  • Communicate with customers, ensuring their quotations and other requirements are fulfilled.
  • Ensure all machine related costs are adequately recorded and costed to the correct machine, reporting late and uninvoiced costs to the Finance Controller.
  • Ensure claims for JCB Dealer Trading Support are correctly recorded.
  • Liaise with the Parts Department to ensure attachments are costed, ordered and delivered in adequate time prior to machine delivery.
  • Liaise with Service Department to ensure PDI, sublet and other work is costed, ordered and completed in advance of machine delivery.
  • Co-ordinate the delivery of completed machines from depot to customer.
  • Oversee customer LiveLink tenancies, allocations, removals and queries.
  • Provide customers, internal and external, with statistical information on a weekly and ad-hoc basis.
  • Assist customers with required documentation for machines as necessary
  • Facilitate changes to customer orders or delivery locations
  • Contribute to the overall success of Greenshields JCB Limited through teamwork and good communication within the Company
  • Identify, facilitate and share improvement opportunities in business processes
  • Help maintain an open working environment through sharing information, thoughts and ideas that promote team working both within the department and wider organisation
  • Strictly adhere to company Credit Control policies and procedures.
  • Assist with telephone enquiries.
  • Achieve and meet strict deadlines.
