The Role:
Full time, Monday to Friday – We require an experienced, confident and driven individual to fulfil the role of Office Manager. This is a great opportunity to be a key player in an exciting growth plan.
The role is based at our Preston City Centre Office, reporting directly to the Directors. The ideal candidate would have a proven track record in a professional practice, ideally property and construction, but we welcome applications from all sectors.
This post is key to the day to day running of our business and entails specific responsibilities to ensure that the office environment functions well for everyone. The role is mainly operational in nature but experience of finance and HR would be of a distinct advantage.
You will be required to produce financial reports, analysing the data and providing recommendations where necessary.
You will also have administrative responsibilities, notably in relation to arrange of governance related matters, HR administration and support for the operations function. You will have responsibility for ensuring that the company’s systems and processes are fit for purpose and compliance and for dealing directly with a range of external consultants and suppliers.
Key Duties and Responsibilities:
Operational
- Take a lead in relation to the day to day running of the office environment, proactively ensuring that the business processes that support it are fit for purpose.
- Manage, implement office procedures/processes and review compliance.
- Assist the Directors in the day to day running of all offices and in the communication of clear messages to all employees.
- Manage the administrative support available to the company and line management of other administrative staff including administrative apprentices as required.
- Ensure that a professional and proactive front of house service is maintained at all times.
- Provide Corporate Governance support to the Company, ensuring that all records and postings are up to date including but not limited to the ISO9001 and 14001 Standards.
- Ensure that the Company’s systems and processes are in place to ensure good information and management, alongside confidentiality and information security.
- Play a key role in the Facilities Management across the Company;
- Taking a lead for liaising with the landlord;
- For the Health and Safety of the office environment.
- To make all the necessary arrangements for First Aid at Work and Fire Warden Duties.
- To ensure all staff are inducted and issued with appropriate PPE and all other equipment for the efficient performance of their roles.
- To understand IT needs across the Company;
- Liaising with IT consultants to ensure that all staff have access to the hardware and software required, including telephony, for the efficient performance of their roles.
- To act as a lead contact for suppliers of goods and services to the company, ensuring that Contracts are reviewed with suppliers in a timely way and that high performance and value for money is achieved at all times.
- To manage and facilitate processes for dealing with Consultants and Referrers.
- Must be confident, driven and fit into a dynamic down to earth team.
- Experience of working in professional practice, ideally property or construction related.
- Excellent time management skills and ability to prioritise work load.
- Very high skills in use of MS Office and Web Based Tools and the ability to produce high quality documents, letters and reports.
- Possess excellent verbal and written communication skills
- Ability to work in a team and also on own initiative.
- The ability to think laterally and solve problems
- Demonstrate attention to detail and work accurately.
- Able to interact with a variety of people at all levels.
- Travel occasionally to the Manchester area.
