We have a new exciting opportunity, not to be missed! At Pitney Bowes we are currently looking for an Accounts Payable Specialist to join our team based in Hatfield. The successful candidate will join us on a full time, 12 month fixed term contract basis and will receive a competitive salary plus excellent benefits.

About the Accounts Payable Specialist role

You will thrive on providing accurate processing of all accounts payable transactions and will be responsible for resolving day to day queries from 3rd party suppliers, employees and our outsourcing partners. You will deliver with precision and you see opportunities where others see challenges.

In this role, you’ll join our Global Accounting Operations (GAO), Accounts Payable team in Hatfield and report to the Accounts Payable Manager. This role is a Fixed Term Contract for 12 Months.

Key Responsibilities of our Accounts Payable Specialist will include

- Working with our outsourced partner to ensure processing and queries are actioned timely and accurately

- Ensuring the accurate processing and on time settlement, to the payment terms of supplier invoices

- Resolving day to day queries from 3rd party suppliers, employees and our outsourcing partners.

- Overseeing the outsourcer to ensure the timely and accurate processing of all accounts payable transactions. This will require a detailed understanding of the process and (working with procurement), to be able to educate the supplier and to follow up where the process has not been followed correctly.

- Determine the root cause for duplicate payments made and taking preventive action for the future.

- Proactive management and control of the resolution process for any exception invoices and/or escalated cases.

- Control the production of statement reconciliations completed by the outsourcer to clear vendor accounts to ensure outstanding aged ledger is within 90 days.

- Communicating on a daily basis with the outsource partner to provide guidance and guarantee a strong healthy working relationship.

- Ad hoc reports to be completed as required for SLA measurements, SOX compliance and GL accounting reconciliations.

- Ensuring SOX and Corporate Policy adhered to at all times. Liaise with auditors as required to ensuring that explanation and documentation is supplied to ensure no adverse audit comments.

- To provide cover for other members of the AP team.

What we are looking for in our Accounts Payable Specialist:

- Previous experience working in an Accounts Payable/ Finance environment

- Proficient in using Excel and Word

- Fluent in English and another European Language would be preferred

- Experience using SAP system

- Good written and oral communication skills as the role requires frequent contact with vendors, our outsource partners and banks

- An excellent team player, participating willingly and acting in support of the Global Accounting Operations business unit and the overall business objectives

- Able to work under pressure to achieve tight deadlines

- Self-motivated and driven to produce results required.

- Able to deal confidently with a range of people at various levels within the organisation in order to achieve targets.

Preferred experience:

- Proven experience working with outsourced partners, responsible for the resolution of query processing
