Fast growing global distributor of High-Tech IT Solutions and Services are looking to hire a Sales Administrator to join their Professional Services Support Team based at their offices in the Swindon area on a permanent basis.

Each company has proven experience at providing innovative technology solutions from world-class vendors, and delivering market growth for vendor and reseller partners alike. The Group has fourteen regional offices across EMEA and turnover is in excess of US$ 300 million with views to double this within the next few years.

The Department

Provides technical support, maintenance and managed services to the businesses contracted Group customers giving them the peace of mind that the equipment/services they have bought from the company will be supported, maintained and managed and any failed items replaced or repaired in a timely manner to keep their critical business systems functioning optimally. It is a service unique in the organisation with time-definite service levels to be met, operating 24 hours per day, every day.

The Role

The successful candidate will be primarily responsible for the day-to-day administrative aspects of the businesses Support service. This will involve liaising with the Group sales teams, the accounts, purchasing, warehouse and logistics teams to ensure that all aspects of providing the service, eg the processes to be followed, the data to be recorded, the actions to be taken, are carried out efficiently and accurately to enable the delivery of the best possible service and experience to Group customers and their customers. There will be a need to constantly monitor email to proactively handle incoming queries from internal and external customers and provide rapid responses.

Key Tasks/Responsibilities

  • Efficiently process contracts and distribute with relevant information to Group sales teams
  • Liaise closely with the Group sales and product management teams and update them of any issues.
  • Maintain and update contract and contact data in the support portal and liaise with vendors to ensure their data is likewise updated if necessary
  • Procure, locate and replenish spare parts as required
  • Assist the helpdesk team with contract and contact queries
  • Follow up all customer satisfaction surveys generated to ensure at least a 40% return rate Monitor and respond to incoming customer queries
  • Monitor support tickets as required
  • Assist with general queries and issues
  • Adhere to company policy and work in line with the company quality management system at all times.

The Person

Will be open to learning about the IT world and related issues that have an impact on business and will ideally have some experience in a company supplying ICT solutions or services. He/she should be a methodical and detail orientated person who understands the importance of following and constantly improving upon business processes to provide an ever better service to customers. Those who have recently attained an IT related qualification will be at an advantage.

Experience and Desirable qualities

  • The Sales Support Administrator will be literate, numerate, be a logical and detailed thinker and have a large helping of common sense. The ability to continue to work efficiently and accurately when the pressure is on without making mistakes or allowing corners to be cut is essential to the service running smoothly.
  • Candidates will ideally be educated to at least GCSE "A" Level and preferably graduate standard and be able to demonstrate great attention to detail.
  • A good and up to date working knowledge of the key Microsoft Office suite applications, Word, Excel and Outlook is essential. A demonstrable understanding of basic data network components and architecture would be advantageous.
  • Training will be provided to enable the successful candidate(s) to assume the responsibilities of the role and to provide continuing relevant skills updates.
  • He/she must have an excellent telephone manner and once trained be comfortable fielding customer questions about any aspect of the services.
  • He/she must be a forward thinking, self-starting, tactful and above all exceptionally well organised individual, able to manage a varying workload and prioritise work based upon sometimes conflicting demands.
