Our client requires a Personal Assistant to provide high quality and comprehensive PA, secretarial and administrative services to the Managing Director.
Duties include;
- Full secretarial support to the Managing Director.
- Diary Management.
- Analysis/reconciliation of expenses.
- Day to day administrative tasks and managing telephone calls.
- Booking travel.
- Preparation of tea and coffee for meetings/arranging lunch orders for visitors.
- Attending the weekly Management Meeting and updating actions on task management software.
- Ordering stationary for the office.
- Provide admin support to the UK based Client Service Managers.
- Organising the Spring Seminars across the UK sites and book venues for seminars.
- Send out invites by email and maintain database for acceptances etc.
- Organise and order all marketing material for the seminars.
- Organise stakeholder Christmas Gifts.
- Manage the car park staff list, ensuring it is up to date and day to day adherence to the policy.
Qualifications/Experience/Skills
- Ideally professional secretarial qualifications.
- Excellent typing speeds.
- At least 2 years prior experience at senior secretarial/ PA level.
- Be able to demonstrate experience in a standalone PA role.
- Strong interpersonal skills, confidence and ability to work at all levels.
- IT skills including Word, Powerpoint, Excel and Outlook.
- Professional demeanour with the ability to deal assertively but sensitively with internal and external customers.
- Strict adherence to the requirements of confidentiality.
- Ability to remain calm under pressure.
- Ability to reprioritise in very short timescales.
- Discretion and integrity.
- Ability to work on own initiative, prioritising tasks and meeting deadlines to achieve a high standard of work.
