PROJECT OFFICE CO-ORDINATOR LUTON

The opportunity
The ASA is a dedicated person who performs engagement administration and project management related activities that do not need to be performed by the technical audit engagement team. You will undertake non-audit tasks, resulting in enhancements to service delivery that:
Improve engagement efficiency by transfer of engagement administration and project management tasks from senior audit team members to the ASA
Promote pro-active coordination with the team and client
Professionalise the delivery of tasks
Ensure all deadlines are met
Provides a central coordinating point of contact for global teams and clients
You will own and control financial matters related to significant accounts of the firm; ensuring that the costs relating to that account are analysed, summarised and effectively communicated to relevant internal stakeholders. You take a lead role in ensuring that matters such as the budget, invoicing and supporting analysis for fee negotiations are prepared accurately, and on a timely basis.

Your key responsibilities

Account management
Actual cost vs. budget monitoring on a regular basis and presentation to senior account team members
Regular and accurate collation of estimate to complete predictions from senior account team members
Identifying areas of potential cost overrun, alerting senior account team members
Ownership of billing schedule and cash collection for the accounts
Plan and book staff on timely basis for main audit and ad-hoc projects; coordinate ad-hoc resourcing requirements (staff booking clash identification and resolution etc.)
Monitor global services on accounts and ensure compliance with auditor independence regulations
Tracking receipt of audit reporting documents and chasing overdue reporting in accordance with instructions and deadlines
Ensuring completion of client and engagement acceptance/continuance process
Set up meetings, write up minutes and monitor/follow up actions both internally and externally
Set up, access control and management of databases used both internally and externally
Maintaining global account contact lists
Creation and rolling forward of key account documents and ensuring compliance with correct template
Client facing activities

Seen by client as central contact for non-technical account management queries
Coordinate, collate and distribute client deliverables
Coordinate statutory accounts process where appropriate
Build relationships with clients, proactively maintaining contact throughout the period of the audit

Communications

Organise and facilitate regular account team meetings
Communicate relevant client information to account teams via regular newsletters/alerts
Ensure client care surveys are distributed as appropriate and the actions required are properly communicated to the account teams

Marketing

Coordinate a Relationship matrix for accounts
Communicate requirements to account teams of client meetings and relationship building exercises
Coordinate an team calendar for the accounts
Work closely with senior team secretaries to regularly monitor our new business opportunity system for accuracy
To qualify for the role you must have
Proven experience of project coordination, planning, managing and prioritising work and completing projects on an accurate and timely basis
Proven experience of owning and delivering projects on own initiative
Proven experience of pro-actively managing upwards to ensure deadlines are met
High level of competency in MS Office, in particular use of MS Excel
Ideally, you'll also have
Experience of tracking actual costs against budget on a project and an understanding of financial measures
Experience of reporting directly to senior stakeholders on a project
Be educated to degree level
