Property Administrator/Office Manager

Based in Golders Green, North London, our client is an expanding property management company looking to recruit an organised, efficient and trustworthy Property Administrator/Office Manager to complete all the day to day administrative aspects of managing the Company's property portfolio.

Previous office administration experience is required, preferably within the property industry. You will need to be able to use your own initiative and be capable of working independently as you will sometimes be alone in the office. This is an excellent opportunity for candidates looking for a diverse role in the property management sector.

Location: Golders Green, NW11
Salary: £21,000 - £25,000 per annum, depending on experience
Hours: Monday - Friday, 9.30am – 5.30pm (or similar start/finish time)
Benefits: 28 days paid holiday per annum

Main responsibilities:

  • Deal with telephone and email enquiries in a professional and efficient manner
  • Use a variety of software packages to produce correspondence and documents and maintain records, spreadsheets and databases
  • Liaise with letting agencies to find suitable tenants to ensure minimum voids across the property portfolio. Alternatively, list property details onto various websites e.g. Zoopla, Rightmove etc
  • Request and ensure the return of references for new tenants
  • Process holding deposits and complete required paperwork
  • Draw up tenancy agreements and ensure they are signed and returned
  • Oversee the day to day, contracted and cyclical maintenance; obtain quotes, schedule work and follow through to completion
  • Implement Section 8 and 21 notices and liaise with third party legal support as required
  • Ensure all properties comply with regulatory requirements and relevant certificates e.g. EPCs, Gas and Electrical Safety checks, are up to date
  • Process invoices and end of month rent statements and follow up payments
  • Prepare the paperwork for annual return filing, end of year accounts and VAT returns
  • Oversee the rent review process and negotiate rent increases as required
  • Order office stationary
  • Ensure the office is maintained and tidy
  • Sort and distribute incoming post and organise and send outgoing post
  • General administrative support, including photocopying, faxing, scanning, shredding, making of routine phone calls, filing and maintaining files in an orderly fashion

Requirements:

  • Previous office administration experience, preferably in the property industry
  • Strong IT skills
  • Excellent English written and verbal communication skills
  • Numerical, basic accounts experience would be an advantage
  • Ability to multi-task and strong time-management skills
  • The ability to work under pressure and meet deadlines
  • Accurate with excellent attention to detail
  • Ability to develop professional relationships with a wide range of people inside and outside the company
  • Flexible approach to changing circumstances with willingness to take on new tasks and experiences
  • Self-motivated and able to use own initiative and work independently
  • Driving licence preferred but not essential
