Reporting to and in direct support of the Customer Service Supervisor and indirectly in support of the Customer Service Manager. This is a role that involves managing requests on behalf of our customers/manufactures in relation to the V5 process
Who we are:
Based in Upper Heyford we work with large retailer groups to support the vehicle preparation and handover of new vehicles to leasing companies. Working jointly with Operations and Logistics, our Customer Service team is a vital part of the process to support these retailer groups by creating an exceptional booking and handover process whilst supporting the excitement of receiving a new car and increasing satisfaction survey results
The V5 (Log Book) Document Administrator Role:
As an essential part of vehicle ownership, our V5 team are responsible for the management of all V5s registered and owned by our customers - manufacturers and rental organisations . In the event of sale or in-life requests the team will arrange the onward movement or administration support. Managing approximately 45,000 V5s this is a role requiring accuracy and attention to detail.
Responsibilities:
Duties will include but not be limited to:
+ Review orders via the feeds from the Client system.
+ Ensure Documents are posted out within the clients KPI’s.
+ Ensure efficient response times on email and telephone requests.
+ Job rotation on a three week basis.
+ Ensuring all data for scanning is correct for import onto the Paragon Portal.
+ Filing and file retrieval for posting
+ In-house system records to be maintained
+ Internal department communication via email and phone to a professional standard
+ Maintain records for the clients on the DVLA web site
+ Maintain internal information on Excel
+ Monitor V5 arrival as well as requesting new documents
+ Assist with quarterly document audits
+ Any other tasks as required
Person Requirements:
+ Strong attention to detail
+ Ability to prioritise and multi-task
+ Self-driven but can also work as part of a team
+ Able to work to deadlines
+ Confident with Email correspondence and telephone queries
+ Basic Excel skills
