Project Management Assistant (PMA) - Fixed Term Contract

Our client is an independent, international consulting practice, providing globally integrated consulting services to the international mining industry. Located in Cardiff City Centre is the European arm of the Group and currently has over 100 employees. Our client is an employee owned company.

They currently have a full-time opportunity for a Project Management Assistant; key components to the role include: supporting the technical departments, project support, administration and co-ordination, including financial and contractual aspects, collation of, and tracking department financial performance and forecasts.

Contract: Fixed term 12 month contract

Location: Churchill House, 17 Churchill Way, Cardiff, CF10 2HH

Hours of Work: 09:00 – 17.30, Monday to Friday, with a 30 minute lunch break (40 hours per week)

Salary Scale: £27k-£30k (depending on previous experience) + Benefits.

Experience/Skills: Previous experience in a similar role is ideal but not essential combined with:

  • Computer literate and competent in the use Microsoft Office Suite, specifically advanced level of Excel
  • Strong numeracy skills are essential
  • The successful candidate will have a methodical approach to problem solving along with excellent communication and interpersonal skills
  • The ability to interact with people at all levels inside and outside the organisation is vital
  • Ability to be proactive and able to work under pressure, either independently or as part of a team
  • Ability to work without direct supervision and to prioritise workload effectively
  • Ability to deliver high quality work under pressure and to tight deadlines

Duties/Responsibilities:

  • Reviewing and approving timesheets, informing the Head of Department of any peculiarities. Compiling department performance statistics including breakdowns of project and non-chargeable time. Tracking project status and liaison with Project Managers, Finance and Department Assistants. Monthly assistance to the Head of Departments with regards to production queries. Support audit activities related to Financial and Project Management Systems.
  • Providing Project Management support to include: Acting as the Project Managers contact for the Project Management System, debtors and invoicing. Assisting and liaising in the preparation of Sub Consultant Agreements, inter-company timesheets, invoices and other queries. Project Management support to include budget preparation and tracking, invoice preparation and client invoice liaison.
  • Working with specific departments and reporting to Heads of Department on day to day reporting purposes and specific projects as required. Liaising with other departments to provide a progress report to the FC as and when required. Attending monthly progress meetings.
