JOB PURPOSE The role of the ESF Skills Support for the Unemployed Administrator is to provide administrative support to the Skills Support for the Unemployed Coordinator, Contracts Manager and the Project Team. The post-holder will be ensuring that all paperwork is processed, submitted timely and compliant with ESF funding rules, audit guidance and contractual requirements. KEY TASKS/DUTIES Undertaking general clerical duties and implementing College Office procedures and processes;Working closely with team members and other faculty staff to fully understand and accurately track progressions;Using computer systems to input data and information onto spreadsheets or Management Information Systems, including the setting up of simple spreadsheets or databases, and the processing memos, letters, reports and other communications;Tracking and recording learners' progress and reporting outcomes promptly;Ensuring the accurate submission and inputting of data, which is compliant with ESF funding rules, audit guidance and contractual requirements;Liaising with Job Coaches/Trainers, ensuring all paperwork is present for each file;Keeping records of feedback and case studies;Producing and undertaking a robust filing system and ensuring that all data is secure;Archiving all paperwork and files in accordance with contract criteria;Receiving telephone calls and answering general enquiries relating to the department;Maintaining appointments and arranging meetings; Supporting the team, where required, within the Careers & Work Club; Completing other duties as may be required by the principal to reflect changes and developments commensurate with the post. CONDITIONS OF SERVICE In addition to the College standard Contract of Service, this post is a fixedterm contract for 18 months, expiring on 31/03/2018. Hours of attendance: 37 hours per week. Annual Leave: 281.5 hours (38 days) per annum, inclusive statutory holidays.
