JOB PURPOSE

The role holder will provide administrative support to all members of the Executive Management Team (EMT) and the PA to the CEO & CFO. They will also provide PA support to some members of the EMT. There will also be a requirement to help other teams with travel bookings and ad hoc admin requests, from time to time.

KEY RESULT AREAS

- Arranging and diarising meetings.
- Booking travel and accommodation.
- Booking meeting rooms and organising lunches / refreshments for meetings.
- Processing expenses for the EMT.
- Answering 'phone calls and taking messages for the EMT.
- Helping to get financial and legal documents signed by the EMT in a timely manner.
- Taking minutes of a weekly meeting.
- Meeting and greeting visitors of all levels of seniority.
- Formatting presentation documents.
- Binding presentation documents.
- Scanning and printing.
- Ordering stationery.
- Occasional personal PA work for one member of the EMT.
- Providing PA duties to the CEO and CFO, when the PA is out of the office or busy.

KNOWLEDGE AND EXPERIENCE

- Have at least 1 year's PA experience.
- Have previous experience as an administrator in a busy office environment.
- Have excellent organisational, time management, and multi-tasking skills.
- Be a good team player.
- Have excellent communication (in particular written and spoken English) and interpersonal skills.
- Be calm under pressure.
- Have excellent attention to detail.
- Understand the need for discretion and confidentiality.
- Have very good IT skills - Outlook, Word, Excel, and PowerPoint.
