Our client, a technology company based in Cambridge, is looking for a Customer Service Administrator. The principal purpose of the role is to be the focal point of contact for customers regarding order status and planned delivery of systems. Also to support the team in the efficient and timely processing and shipping of customer orders.

Key responsibilities will include:

  • To act as focal point of contact to customers worldwide and to provide weekly delivery and order status updates based on information provided. To respond to customer queries regarding delivery status of systems and ensure that customers are provided with up-to-date delivery information.
  • Undertake SAP order entry and generate SAP delivery notes.
  • Liaise with freight forwarders/appointed shipping agent as required, to arrange the collection, packing and despatch of customer shipments.
  • Provide appropriate shipping documentation in accordance with the customer order contract requirements, and under export licence/letter of credit terms. Generate manual export paperwork.
  • Co-ordinate onsite and offsite filing and archiving of customer documents.
  • Update and maintain reports and spreadsheets.
  • Ensure compliance with company procedures and controls - ISO 9001 and ISO 14001.

It is essential that applicants have both English and Maths GCSE to a pass level. Candidates must have experience of written and verbal communications with internal and external customers, both in the UK and worldwide. Previous experience working with shipping documentation and procedures is essential, as is previous experience with order processing and data maintenance using MRP/ERP system (or similar). Previous use of SAP and LEAN is desirable. Candidates must possess excellent communication skills (written and verbal) and must be customer-focused in their approach to work. Good attention to detail, the ability to generate and follow procedures and the ability to work under pressure to tight deadlines are essential skills for this role. Candidates must have strong IT skills, specifically on Excel and Word, and previous experience using Microsoft Outlook is desirable.
