Office Manager

Hours: 15-20 hours per week

The post-holder will be responsible for running the office. This will include developing and implementing systems and processes to improve current office management. You will deal with customers both in person and on the phone. You will need to be highly organised, confident and preferably have experience of an administrative role. The successful candidate will also have strong Excel and Word skills and ideally experience of managing accounts.

Job Description

  • Support the managing director by providing a well run office and office systems
  • Develop and manage spreadsheets to organise piano tunings
  • Manage the accounts system and identify areas for further development and improvement
  • Manage invoicing and chase outstanding payments
  • Liaise with customers, including managing bookings and appointments
  • Act as a first point of contact for customers, suppliers and external contractors both on the telephone and in person
  • Develop and manage our stock control system
  • Work effectively as part of the team, supporting the efficient running of the business in all areas
  • As the team is a small one, the post-holder will be expected to be flexible in their duties and work with the rest of the team to ensure that the shop is as successful as possible

Experience and Skills Required

  • Exceptional organisational skills and experience of setting up and improving processes and systems in an office
  • Experience of office administration preferably in a retail environment
  • Experience of using an accounts system
  • Experience of setting up office processes and systems
  • Team player
  • Strong Microsoft Office skills particularly Word and Excel
  • Account management skills including using an accounts system
  • Attention to detail
  • Excellent customer relationship skills both on the telephone and in person and a strong commitment to providing a high quality experience for our customers
  • Able to adapt and work flexibly
