1. Overview
Reporting to the sales team leader, the sales administrator provides administrative support to the sales team leader and others in the department. The sales administrator is responsible for maintaining and recording sales leads and the management of company demonstration stock. The sales administrator will assist the internal sales coordinator with repair and new order sales enquiries.
2. Duties and Responsibilities
2.1. Sales leads management
- Accurately enter leads into Excel and CRM software.
- Maintain and update sales opportunities and leads using Excel and CRM software.
- Send out opportunities to commercial managers and internal sales coordinator for follow up with external representatives or direct end users.
2.2. Demonstration stock
- Securely manage physical demonstration equipment in accordance with company processes to ensure that products are available both internally and externally when requested.
- Coordinate with teams across the organisation to ensure demonstration stock is tested and prepared as necessary for exporting worldwide.
- Provide accurate and timely information to shipping teams to ensure a smooth process when both exporting and importing demonstration stock.
- Ensure that all internal and external demonstration stock requests are dealt with promptly and maintain accurate records of all requirements including pre and post loan paperwork.
- Coordinate with internal and external users of demonstration stock regarding any damaged or missing items.
2.3. Sales - repairs 2.3.1. To be delegated as and when required by internal sales coordinator
- Coordinate with production to determine work required on units that have been returned for repair and provide end users and representatives with accurate quotations.
- Ensure all purchase orders (whether received direct or via the representative network) for repairs have been entered on to the scheduling system and have accurate and necessary information before passing to the relevant team for processing.
2.4. Sales - new units 2.4.1. To be delegated as and when required by the internal sales coordinator
- Maximise sales by ensuring all leads are progressed directly or passed to representatives, assisting them with information they request to support closing opportunities with orders.
- Create and send out quotations (coordinating with other departments as necessary for technical specifications) for leads and opportunities from representatives or direct customers that are not in excess of £100k.
- Follow up and resolve outstanding leads and quotations, identifying reasons for unsuccessful sales.
- Ensure all purchase orders (whether received directly or via the representative network) for new sales have accurate and necessary information before passing to the relevant team for processing.
- Ensure issues or large opportunities are escalated as necessary and in a timely fashion.
2.5. General
- Answer the phone and e-mails, dealing with customer queries or escalating as necessary.
- Maintain calendar of events, holidays and travel for the sales team.
- Filing paperwork and electronic documents.
2.6. Other
- Cover for internal sales coordinator as required and during periods of absence
