Responsible for the delivery of administration and professional support duties to all three Estates Commissioning Teams (ECT) disciplines: (Maintenance, Facilities Management and Estates Management). Applicants must possess knowledge of property management and maintenance functions.
Reporting to the Framework Managers and Framework Cost Surveyor, the post holder will assist with monitoring and reporting of contract performance, ensuring that all commissioned works are effectively managed and deliver value.
The primary duties of the post are to manage property related enquiries through the CAFM system, recording defects, monitoring progress of works and providing reports to the contract managers and framework management team. The role will involve processing of work orders and monitoring of client records using the CAFM system including reporting tasks, liaison with contractors and framework colleagues in the delivery of reactive and statutory compliance workloads.
Acting as a point of contact and providing daily management of all Estates telephone enquiries, taking messages, liaising with ECT colleagues and providing quality responses to front line services/customers.
To assist with weekly Estates business management tasks involving contract performance monitoring and reporting of KPI's. Processing financial commitments and budgetary information for review by senior ECT managers by agreed deadlines. Programming and recording ECT staff caseloads, targets and outputs, inputting contract and property information and maintaining data and filing records in CAFM system.
Secondary duties will include general administrative support, minute taking, report typing, assisting and developing internal procedures, management of own timesheets and others. Ensuring that all daily and weekly administration and business procedures are performed effectively, efficiently, accurately and in a timely manner and within agreed deadlines.
The successful candidate will hold a business and administration qualification, with a good working knowledge of Word, Excel, Outlook and Access, preferably with an ECDL or equivalent, a good range of experience, and be from within a property or construction
