Purpose of the role
The role will be responsible for leading a small client and matter inception team. This will include setting KPI's and reviewing targets and performance. The role will be responsible for ensuring that
inception requests are collated, validated and processed in a timely manner and all documentation is
recorded. The role will also be responsible for maintaining and improving departmental processes and
reporting and building and maintaining relationships with both internal and external customers.

Works with minimum direction supervising the client and matter inception team
To play a key role in embedding our new client and matter inception (CMI) processes, working
practices and new practice management system helping to anticipate and resolve problems
and contribute to continuous process improvement
Ensuring that all relevant information is obtained and collated to run an effective client and
matter inception process
Sets targets and supervises staff performance
Maintains accurate team measurement and performance statistics
Ensures the client and matter inception team interacts well with all stakeholders
Looks for process improvements and efficiencies in the team's day to day work
Compiles monthly reporting for distribution to senior finance managers and business representatives
Assessing the risk profiles of new and existing clients and resolving issues where appropriate
Liaising and assisting individual lawyers with advice/recommendations in connection with
concerns or questions arising from conflict checks and anti-money laundering (AML) requests
Providing advice to lawyers and others throughout the firm on issues arising from the client and matter inception process
Investigates and handles escalated queries and compiles documentation for escalation to
senior management
Acting as the point of escalation for queries and issues arising from the client and matter inception process
Escalating high risk client and client matter inception issues to the appropriate compliance contact
Resolution of credit issues, conflicts of interest and issues identified during AML searches
Mentoring team members to enhance their awareness of conflict and AML requirements

Technical skills
The ability to make recommendations to reduce/control any risks identified
The ability to explain and advise succinctly on difficult and complex areas of compliance
Must be IT literate and have good keyboard skills - experience of Excel and Word is essential
Experience of dealing with stakeholders at all levels
Strong influencing skills
Ability to manage and prioritise an extensive caseload
Experience of a legal practice management system is desirable
You will be expected to be familiar and compliant with the full range of regulatory policies

You will also be required to undertake mandatory compliance training as required
Person specification
As part of the Finance team, you would be expected to have the following skills and experience:
Confident, articulate and adept in obtaining and, where necessary challenging, information in
order to progress processing and meet targets.
Discreet and professional with confidential and sensitive information
Able to challenge the status quo and deliver change solutions to improve business process
A robust and positive approach to relationships and interactions with colleagues.
The finance department is often a lively and pressurised environment and the job holder
should recognise and respond positively to this as appropriate.
The ability to work quickly and accurately under pressure and adhere to critical deadlines.
Previous experience of working in a client focused environment with the ability to
communicate both verbally and in writing at all levels is essential
Additional qualities
This is a position of responsibility requiring an intelligent supervisor who can operate without
supervision and on his/her own initiative.
Essential that the job holder is available and happy to work extra hours when needed. It is
anticipated that the extra hours will be primarily at a month end to ensure the completion of
month end procedures
