Salary up to £20,000 depending on experience + Benefits


*To assume responsibility for the administrative function of the office. Liaising with the designated partner responsible for administration on a regular basis. Ensuring that partner is kept fully informed of administrative matters at all times.
*Actively managing the timely receipt of weekly time-sheets;
*Review and control the processing of time-sheets, where appropriate bringing to the attention of partner exceptional claims for overtime/expenses;
*Prepare monthly staff performance statistics;
*Maintain and control the booking of staff holidays
*Maintain details of staff sickness;
*In conjunction with manager responsible for staff, ensuring new starter procedures are fulfilled;
*Maintain staff members list.
*To actively liaise with appropriate staff to ensure the performance of their duties are carried out in accordance with individual job specifications;
*Supervising adequate holiday/sickness cover for non-fee earning staff;
*As required, overseeing secretary's fluctuations in workloads and co-ordinating prioritisation.

Marketing Support

*Liaising with the designated partner responsible for marketing on a regular basis to actively raise the brand awareness of the Firm in the local business community. Also, to engage and co-ordinate the following functions:-
*Develop both internal and external communication links within the framework of the Firm's marketing plan and maintain a 12 month activity schedule
*Arrange local office marketing meetings on a regular basis; issue agendas and take minutes of meetings;
*Liaise on a regular basis with the marketing co-coordinator in the Head Office and attend marketing meetings as required;
*Build upon and maintain the in-house marketing database exploiting all opportunities with the database;
*Research specific niche market sectors on a local/regional level and carry out direct mail campaigns;
*Develop flexible, easy to update high quality in-house publications;
*Maintain "the Firm's" website in conjunction with Head Office and update regularly;
*Build a strong presence in the county through effective PR and mailing releases and arranging photography if required - covering events, sponsorship, new staff etc.
*Co-coordinating editorial and advertising opportunities;
*Investigate and co-ordinate "off the peg" newsletter opportunities for mailing to targets;
*Organise quality seminars and in-house lunches, including invitations, AV, catering, displays, venue etc.;
*Assisting in the provision of other duties as required.

General administration

*Open the post and distribute to relevant partner;
*Be responsible for daily banking and processing of cash receipts to fee ledgers;
*Prepare all returns required by Head Office;
*Order stationery from Head Office and external sources as appropriate;
*Control the filing and storage of the office;
*Being aware of the requirement to answer incoming calls immediately when reception is engaged on other calls and communicating messages to relevant personnel within 15 minutes (unless urgent).
