Regional Business Support Administrator - GBP20,000 pa - Warrington A brand new role has arisen to work for one of our highly reputable charity clients who are looking to recruit an experienced Administrator. Local operations require high level administrative leadership to coordinate, manage and ensure effective governance of administration arrangements, systems and processes underpinning local service delivery as well as a facilities management function aligned to the wider organisational requirements and policy framework. Reporting to the Regional Business Manager, your job purpose will be to effectively and appropriately lead the local administration portfolio including the facilities management function; managing the provision of a high quality, administrative and business support service for the Local Operational Team. Dimensions• Responsible for 2 members of staff.• Budget responsibility for up to GBP100k. • Decision making authority up to GBP25k. Key Result Areas• Organising and providing all office support systems including facilities management, information /data/ reporting systems and procurement for all goods and services within an allocated budget. • Ensuring a safe, secure and compliant working environment for all local staff at all times.• Making decisions that govern the smooth and effective administration of the local service within a clear decision making and accountability framework.• Leading on the administration requirements of specific projects as identified by the Local Leadership Team including meetings and events associated with the project; minute taking, maintaining standard project documentation and liaising with project members to ensure timelines are met.• Facilitating timely and effective communications with all stakeholders, responding to telephone queries, resolving were possible and signposting to others.• Provide first line IT helpdesk support to resolve queries and provide system related advice for operational staff.• Providing line management responsibility for local based administrative staff, including training and development and monitoring performance. • Overseeing meeting and event coordination for the Local Leadership Team, including compiling agendas, booking meeting rooms, travel arrangements and minute taking.• Coordinating local on-call rota's. • Working in partnership with the Corporate Hub Team to ensure a multi skilled and comprehensive skill set that can be shared across the local area and the Hub.• Providing administrative support for all functions located within the Region i.e. Business, Quality, Practice development and any other areas of the organisations operations. • Working with the Local Leadership Team to provide a comprehensive, consistent and cohesive response to the both local and corporate requirements.• Ensuring local staff and systems are equipped to maintain business.• Developing and maintaining all management information systems designed to support the effective operation of local services aligned to the corporate policy and procedure framework.• Leading on the completion of any data requests from Commissioners on behalf of the Local Leadership Team.• Working with internal and external auditors providing documentary evidence of compliance.• Ensuring the effective performance of the administration service, including the production of well-presented documents, correspondence and minutes in line with agreed corporate processes and branding. • Maintaining confidentiality and security of information at all times.• Overseeing office facilities management, including general repairs, maintenance, cleaning services, Health and Safety checks, PAT testing, VDU testing. Actively raising awareness and taking a lead on relevant Health and Safety guidelines, acting as Fire Warden and First Aider for the building(s). • Ensuring all services and goods are purchased within current contracts and procurement rules as determined by the scheme of reservation and delegation, reporting any exceptions in line with terms of agreement.• Operating within budgetary limits and monitoring the performance of suppliers identifying areas of improvement and escalating to the Business Manager where required.• Managing a stock control system for office supplies.• Managing the financial administration for the Region including checking and authorising invoices and that budgets operate within allocated limits.• Assisting the business and innovation lead to coordinate, initial and finalise completion of tender submissions inclusive of PQQ and ITT. Experience Required:• Experience of delivering high quality administrative support within a busy office environment.• Experience of working in a secretarial and managerial environment.• Experience of delivering service excellence to all internal and external customers.Skills:• Good computer literacy and word processing skills.• Skills in the use of Microsoft office applications.• Excellent communication and interpersonal skills, acting with tact and diplomacy.• Good analytical and decision making skills.• Excellent organisational and time management skills, with an ability to prioritise conflicting demands.• Successful budget management skill set.Knowledge:• Knowledge of legal and regulatory bodies, to ensure compliance within the designated area of responsibility.• Knowledge of the administration requirements of tender and contract processes within the health and social care field.• Knowledge of the Data Protection ActAdditional: Working a 37.5 hour week with extensive employee benefits.
