Here at the ICS Group we have a fantastic opportunity for an experienced Contracts Officer to join our growing Bid/Contracts Team based at our London, Kings Cross offices. About the opportunity Reporting to the Bid Team Manager, the Contracts Officer role will be responsible for management and coordination of contracts held by the group in conjunction with other contracts and operational colleagues, and will work in conjunction with Bid Team colleagues to provide support and assistance in relation to contract activities as part of tender processes. Primarily focused on ensuring proper commercial and diligence processes are completed without exception, the Contracts Officer will work across the business in conjunction with colleagues, clients and advisor's and support the Bid Team Manager to ensure that every contract received is commercially acceptable, records are made of compliance with the process and a full and accurate contract database is maintained. Responsibilities include: Review contracts and related documents, following the defined process including;Initiate and coordinate full commercial review of contracts and contract-related documentsUnderstand the commercial checking process in order to identify, understand and highlight risks /commercial considerations and commercial advisor commentaryLiaise with business / commercial advisors and business colleagues in the identification of commercial risks, and drafting / re-drafting of contracts accordinglyCoordinate with clients, internal colleagues and third parties in order to reach mutually-beneficial drafting of contract clauses and termsEnsure all documents are finalised and the commercial checking process completed promptlyEnsure all relevant contract-related information is disseminated across the business through proper handover for implementationIn conjunction with the Bid Team Manager, review advice received to provide an assessment on the commercial application of adviceEnsure all commercial responses are prepared to the highest standards of accuracy to position the organisation correctly, and achieve the desired resultsPrioritise contract documents according to their relative importance to the organisationMaintain complete, auditable logs and records for all contract-related activitiesMaintain a complete contracts register and associated documents (including NDA/confidentiality agreements, variations, amendments and addendums)Ensure that contracts reaching expiry are proactively managed to achieve re-negotiate or renew working in conjunction with the Bid Team and OperationsContinuously seek to improve and enhance the standard, effectiveness and efficiency of the contracts checking processRespond to contract-related queries, and offer support, advice and guidance on the correct contractual approachMaintain exceptional standards of filling and enabling immediate access to documentation (soft/hard-copy)Plan workload and contract activity to meet deadlines, without deviation from standards of responseContribute to overall success of the contracts checking process, working to team and personal objectivesProvide reporting on key performance metricsDevelop and maintain communication channels across the business, at all levels to achieve objectivesAssist the Bid Team Manager and Group Commercial & Marketing Director with projects and administrative tasks, according to the needs of the businessAny other duty as may reasonably be required from time to time About You Candidates will need to have experience in a similar positionExcellent written and verbal communication skills, with the ability to present informationGood attention to detailCompetent in reviewing complex documentationCompetent in use of all MS Office packagesAbility to plan and prioritise own workloadSuccessful candidates must be willing to travel to our Hertfordshire offices 1/2 days per week Why work for ICS?
