Secretary / Receptionist Permanent - Full Time - North Bristol Salary negotiable dependant on experience An established & innovative organisation in the heart of North Bristol is seeking a Secretary to join them on a Permanent basis, due to expansion. Assisting within the administration department as a Secretary is a 5 day position; however you will be required on Thursdays and Fridays to assist as the company's Receptionist. You will be able to continue your secretarial duties from the reception desk, whilst managing the front of house tasks. This is an extremely diverse position and will offer a variety of duties, such as; Secretary duties: Assisting other departments and colleagues with Typing, from Letters to Reports, ensuring company deadlines are met.Taking minutes and audio typing when required.Carry out the preparation of monthly invoices across all departments.Liaise with all avenues of the business to ensure invoices are factual and accurate before being issued.Managing the online system for Credit Control and chasing via correspondence and the occasional call if payments are overdue. Compliance checking documents and reports.Other general office duties. Reception duties: Management of Switchboard and assisting with all incoming calls.Carry out the morning set up of meeting rooms and clear down at the end of the day. Preparation of drinks and lunches for meetings and guests.Ensuring kitchen areas are maintained and clean at all times.Liaising with outsider caterers when required.Assisting with facilities maintenance, such as key passes / phone issues. This may require directing issues to third party support. Occasionally managing the incoming and outgoing post. This may be internal or external post and assistance with franking.Organising and booking out meeting rooms when needed.General support within the building and all departments. Ability to work to tight deadlines and multi-task.Intermediate skills on all MS Office programmes.Speed typing of 80 words per minute with attention to detail on accuracy.Capability to work calm under pressure.Confident, trustworthy and friendly character. Previous experience as a secretary and ability to demonstrate strong report writing / typing skills is essential.Organised, methodical and professional approach to all tasks.
