This company is the largest supplier to the UK's jewellery industry, offering customers over 18,000 products in various precious metals including silver, gold, palladium and platinum.

They require a Business Support PA to join their team. In this role you will provide a comprehensive administrative and secretarial support to the Managing Director and Management Team.

Reporting into the HR Manager you will also assist with general office tasks.

Your main responsibilities for the MD will include:

- Electronic diary management for the MD which will include arranging and changing appointments, booking meetings and prioritising.
- A range of adhoc tasks that will help the MD maximise productivity. Including research and information gathering for key projects, liaising with internal and external contacts.
- Develop, prepare and maintain confidential business letters, reports, records and follow ups on pending matters.
- Act as minute-taker during management team meetings as necessary.
- Organise meetings, teleconferences, video conferences and events with global participants, gather and distribute meeting information if required.
- Make arrangements, meet & greet visitors.
- Call screening for the managing director.

Your general office duties will include:

- Support the wider Business by co-ordinating all global travel arrangements including flights, car parking, transportation, car hire, hotel, visas and producing comprehensive travel itineraries.
- Preparing internal meeting rooms ensuring they are appropriately set for the meeting and cleared promptly, organising catering requirements if necessary.
- Managing and maintaining internal systems to include holiday records, team movements etc.
- Monitor and maintain office supplies.
- Receive, sort and distribute the incoming mail for the directors.
- General office administration for the HR department.

The successful candidate will have:

- Previously supported at director level preferably in a private sector organisation.
- Experience in diary management, minute taking and global travel planning and co-ordination.
- Highly IT literate with strong Word, Excel and PowerPoint experience.
- Highly organised and diligent with excellent communication skills and ability to maintain confidentiality.
- A completer/finisher who takes pride in their work.

Desirable Skills / Experience:

- A foreign language (German preferable)

Their working week totals 37.5 hours per week Monday - Friday.

A CRB check will be carried out and must come clear to be successful in this position

You must have a solid work history and be able to provide references.

Likely to have experience working in one of the following roles: PA / Executive Assistant / Company secretary / Senior Administrator / Administrative Assistant.
