The Invoicing Associate will report to the Finance Analyst in carrying out monthly invoicing, payment reconciliation, and accounts receivable functions for our key client. They will provide invoicing administration support leveraging our tools and best practices. Whilst initially assigned to one key client, the Invoicing Associate could be assigned to multiple programs and must be available to support the programs in many different capacities, including ad-hoc requests and as required with changing business needs.

Your opportunity

You will be responsible for:

• Consolidate invoices using a variety of web-based technology
• Audit and validation of invoice data using Excel templates, databases or web-based technology
• Summarise consolidated invoices and prepare for monthly accounting processes.
• Receive and reconcile customer payments
• Prepare supplier payment summaries and enter payments onto the relevant systems
• Track payment approval to ensure payment is sent
• Adhere to SLAs for client invoicing and AGS payments
• Ensure that invoicing is carried out accurately and on time without incident to client and prevent delays in payment to suppliers
• Manage accounts receivable aging and perform collection responsibilities where necessary
• Update and maintain supplier payment logs and Accounts Receivable trackers
• Administer, audit, and reconcile all tax related processes and issues
• Respond to supplier and Programme Office enquiries relating to invoicing and payments
• Maintain process notes
• Ad hoc project tasks to support the Finance Analyst and Invoicing Manager
• Work on payment queries to ensure the AGS fees and supplier payments are accurate and on time
• Report issues promptly and work with all parties to a satisfactory conclusion
• Provide feedback and make suggestions on the process
• Seek continual improvement and efficiency

About you:

In order to be successful in this role it is essential that you have:

• Degree level education (accounting, business etc) or equivalent business experience
• Excellent verbal and written communication
• Numerate
• Ability to analyse, audit and solve problems and present conceptual information to all levels of internal and external management
• Ability to understand, update and maintain MS Excel templates for invoicing solutions
• Ability to make sense of large amounts of data
• Attention to detail and passion for quality
• Previous experience within a similar role
• Knowledge of basic accounting and financial concepts
• Ability to adapt to change in a fast-moving business environment
• Aptitude for picking up new systems and processes quickly
• Able to adapt to change and continuous improvement
