The opportunity

The main responsibility of the Team Secretary will be to provide competent secretarial support to our Employee Benefits team based out of our fast paced busy office in the heart of the financial district in London. You will be part of a team who support multiple consultants across our Actuarial, Investments and Pensions teams split between two locations, predominantly London (no travel required).

The hours are standard business hours 9:00am to 5:30pm Monday to Friday and the office is easily assessable from either Bank, St Pauls or Moorgate tube stations

The focus of the team is to offer office administration support and to deal with any issues or questions and bring them to a satisfactory conclusion quickly and efficiently, in order to achieve a high level of customer service or liaise with the relevant parts of the business so it's resolved. Your role will contribute to the effective running of the business area.

What you will do:

* Typing of reports, letters, presentations and other professional documents

* Collate trustee meeting packs, these are large documents filled with confidential information

* Arrange meetings, travel and accommodation; prepare itineraries

* Ensure filing, file register and archiving is all up-to-date

* Plan and organise client and internal meetings as required, including sending electronic invitations, collating and distributing confidential papers and arranging venues and catering as required and taking minutes at internal management meetings.

* Assist with monthly/quarterly billing/invoicing

* Manage and screen correspondence; whilst ensuring you handle all confidential documents with discretion

* Answer internal and external phone calls into the office; ensure that messages are conveyed accurately, clearly and in a timely -manner

* Undertakes specific project work as and when required

* Maintain a tidy and presentable office at all times; prioritise a demanding workload and ensure that deadlines are managed and met

Your experience will include:

* Previous experience working in a busy office environment

* Strong IT literacy skills including Microsoft PowerPoint and Word.

* Excellent verbal and written communication skills

* Professional work ethic with flexibility and willingness to learn new skills

* Ability to juggle and prioritise your workload

Accuracy and attention to detail is essential to the role as is the ability to use your initiative within a team environment. You will be self-motivated and display a positive and flexible attitude with the willingness to multi task and enjoy supporting a team!
