Job Purpose

To provide a professional, timely and effective administration service for our client's SIPP & SSAS Schemes.

To assist the Divisions Management in the on going promotion of the SIPP & SSAS product range to the professional sector, particularly IFA's.

Provision of technical and practical support, particularly in relation to property, to introducers, accountants and solicitor contacts of the firm.
Key Responsibilities and Accountabilities

Property Administration
Once a purchase has been identified assist in establishing Vat position, borrowing requirements and to commence the instruction process.
Liaise with lender as appropriate to establish requirements and open communication channels.

For all property transactions allocated to you, identify the VAT work required and complete all the necessary paperwork for registration / option to tax using the checklists created and file the appropriate paperwork with HMRC.

Assist in the monitoring of such property transactions to ensure a timely completion, within the charging scale and remit of the Professional Trustee.
Communicate with the client and all other parties to ensure all are kept up to date and fully understand the transaction and necessary procedures on a weekly basis.
To attend client and professional introducer meetings in relation to property matters.

On receipt of reports on title/leases/ environmental issues to check over the comments and identify any problem areas. If there are problem areas to suggest a solution with assistance from the appropriate source.
To maintain a level of commerciality in all property transactions and routine dealings.

Ensure all new business / transactions are processed in a timely fashion and fees taken promptly.

Check any appropriate undertakings and indemnities.
Approve lease and purchase documentation for signature for complex cases and all property developments as appropriate.

Pension Administration
Responsibility for managing and administrating a portfolio of SIPP and SSAS pension schemes in accordance with HMRC/FSA regulations and internal systems and procedures.

Responsibility as the first point of contact for clients within your portfolio and to be aware of all client issues and detail.

Dealing with routine correspondence including contact with clients, their advisers and product providers both by postal correspondence, fax, e-mail and telephone.

Working Practices

To communicate effectively at all levels within the organisation and with external clients, professional introducers and product providers.

To take ownership of administrative issues and technical matters as required.
Speak to all clients irrespective of who the primary contact is on more technical matters as required.

To act on new business enquiries and pass them over to the Business Development Manager as appropriate.
Make well-judged and timely decisions within levels of authority.

Administer tasks effectively within timescales and to the standards/procedures set by the Company.
Other duties as requested by the Directors from time to time.
Compliance

Ensure working practices are compliant with Financial Conduct Authority (FCA) rules and procedures.
Ensure compliance with Money laundering procedures and Data Protection.

To meet professional criteria required by the Company's Regulators.
Thorough understanding of the requirements of all Company's Regulators as they apply to the responsibilities of the job.
Knowledge and Skills Requirements

Maintain and develop personal knowledge and skills relevant to the responsibilities of the role and be committed to a programme of continuous improvement as required by the business.

An awareness of the Company's objectives and business development plans.

An understanding of the Company's client services.

A working knowledge of SIPP and SSAS arrangements, related insurance and pension products and services in the market place.

A working knowledge of retirement options and procedures as they relate to SIPP and SSAS.

A working knowledge of HMRC Regulations, FCA Regulations and Pensions Act regulations as they apply to the responsibilities of the job.
Thorough knowledge of the relevant software packages relevant to the job.
