Our client is recruiting for an experienced Assistant Office Manager to join their team based in Leyland, PR25.
The main function of the role will be to organise and coordinate office administration and procedures, in order to ensure organisational effectiveness, efficiency and safety
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a busy call taking office.
Position Summary
As an Assistant Office Manager your daily roles and responsibilities will include a variety of tasks including;
• Answer incoming calls and book Engineer appointments
• Organise / update client web portals and assist with weekly work in progress reports
• Liaising with the Operations Manager to ensure Engineers are working efficiently and meeting KPI’s
• Organise office operations and procedures including the staff rota
• Maintain and supervise the answering of all incoming calls to maximise the booking of service calls and client queries
• Manage relationships with service providers and ensure the smooth flow of completed job sheets to be invoiced by the account team
• Assist with training new and existing phone operatives
Who are we looking for?
The successful candidate will have the required experience and skills to hit the ground running, including;
• Proven office management, administrative or Assistant experience
• Knowledge of office management responsibilities, systems and procedures
• Excellent time management skills and ability to multi-task and prioritise work
• Attention to detail and problem solving skills
• Strong organisational and planning skills
• Proficiency in MS Office including Excel
• Own transport is essential, due to location
• Flexible working is essential
• Must be able to communicate well and have a very good telephone manner.
