McLean HR work with their client on a consultative basis with their HR and part of that service is to support them with their recruitment of a professional receptionist.
Their client is an investment and private equity organisation based in the heart of Mayfair, a small to medium enterprise, highly regarded in their area and extremely successful. They are seeking to hire an individual with these key skills and abilities:
Key Responsibilities:
• Managing the incoming calls, ensuring that messages are taken clearly and professionally. (Telephone and e-mail).
• Meeting and greeting visitors on arrival. Also informing colleagues/ Partners once visitors are seated in meeting rooms.
• Making sure the meeting rooms are clean & tidy at all times and working alongside Housekeepers.
• Opening and distributing a high volume of mail assist in binding presentations for meetings, ordering couriers, general photocopying
Specific Tasks:
• Ensure that room bookings are made for any external/ internal meetings, order taxis and couriers as required.
• Collating all meeting requests at the end of the day, including refreshments. Distribute information to all PA’s by the time set.
• Ordering of lunches in advance, and then arranging for collection, by liaising with the Housekeepers.
• Organise couriers for national and international deliveries. Booking of taxis for colleagues and sometimes clients.
• To check off courier and taxi invoices and then hand to facilities manager for signing.
Knowledge & Skills:
• Excellent telephone manner. Excellent diary management with attention to detail
• Confident carrying out mail mergers using Word, Excel and Access for mail shots.
• Experience of Avaya, Soft Console switchboard and Etrali dealer board
• Confident carry out mail merges using Word for mail shots.
• Qualifications: I.T literate, confident user of Word, Excel, and Outlook all at Intermediate level.
• Good typing skills with speed of up to 50wpm.
Starting salary - £25,000.00 (on successful completion of 3 months probationary period it will increase to £27,000.00) per annum

Hours - 07.30am to 16.00hrs, 09.15hrs to 17.45hrs, 09.45am to 18.15hrs
