Resource Coordinator (Scheduling IT Consultants) (9 – 12 months Fixed Term Contract)

We are a well-established, dynamic and successful IT Solutions company, with offices across the UK. Our clients include leading commercial and public sector organisations such as Ted Baker, Red Bull Racing and the Scouts Association and our partners include multi-nationals such as HPE and Microsoft.
Our Programme Management Office (PMO), based from our head office in Wisborough Green is responsible for defining, governing and maintaining standards for delivery of projects and project management.
The Resource Coordinator Opportunity:
We are now recruiting for a highly motivated and organised Resource Coordinator to join our PMO team to cover for a period of maternity leave. As a Resource Coordinator, you will be responsible for effectively organising and scheduling technical consultants’ diaries in order to effectively deliver our various projects.
This is a fast paced, ever changing, fun yet challenging role and you will essentially be the glue that pulls the projects together. To succeed in this role, you will need to be highly organised, a quick thinker, personable and with a level of gravitas in order to influence outcomes.
Full training on all relevant systems will be provided but prior experience of “WhiteSpace”, MS Project and CRM systems would be advantageous.
Resource Coordinator Key Responsibilities:
+ Co-ordination and verification of Statement of Works (SoW) and pre-sales documentation prior to commencement of the project;
+ Ensuring PO is in place before booking resource;
+ Co-ordination of project pre-requisites on projects where no Project Manager is assigned;
+ Co-ordination and booking of project kick-off meetings/workshops;
+ Co-ordination and allocation of resources to projects according to project plans, resource availability and skill set;
+ Ensuring customer requirements are met e.g. security clearance, dress code;
+ Ensuring Technical Consultant has all information pertinent to a booking e.g. SoW, contact on site, customer address;
+ Setting up new Projects, Customer and Employees on the resourcing system (WhiteSpace);
+ Closing off Projects;
+ Notifying Finance and Marketing on closure of projects;
+ Setting up Project Management tasks in resourcing system (WhiteSpace)
+ Attend and participate in team meetings.
Skills and Experience:
+ Previous experience working in a resourcing role within a technology environment is highly desirable;
+ Experience of process management;
+ Strong administrative skills and highly proficient in all MS packages;
+ Previous experience of using Whitespace, MS Project, Visio and working knowledge of CRM systems is highly desirable;
+ Experience of effectively managing and coordinating finite resources, often within short timeframes;
+ Excellent planning, organisational and time management skills with the ability to prioritise and manage time effectively and work to tight deadlines;
+ Practically minded with excellent problem solving skills, but understands when to escalate issues;
+ Excellent communication skills both oral and written, with the ability to articulate an opinion effectively;
+ Excellent interpersonal skills, the ability to work cross functionally and interact confidently with multiple stakeholders;
+ A self-starter with the ability to work independently with minimal supervision;
+ Robust and resilient in approach – the confidence to challenge 'push back’ when needed as well as the ability to work calmly under pressure;
+ Team player – understands the importance of individual as well as team contribution;
+ An understanding and/or appreciation of new and emerging technologies if highly desirable.
+ Ideally educated to degree level (or equivalent), ITIL (or equivalent) or another project management qualification is highly desirable.
Location: Based from our Headquarters in Wisborough Green, West Sussex (Guildford 30 minutes, Horsham 20 minutes)
Due to our location, access to own transport would be needed to reach the office.
Hours: Full Time 9.00am to 5.30pm / Monday to Friday.
Salary: up to £30k, depending on experience.
Start date: ASAP
Other: Must have the right to live and work in the UK. Must have a full UK driving licence.
