Part Time Receptionist/Admin Support (Monday to Friday 09.00 - 3.00)                

Reporting to: Managing Partner                                     

Overview of Role:

We are currently recruiting a Receptionist/Secretarial/FM Support receptionist in to our Bristol office. This is a really busy office so a great opportunity for someone looking to develop their career in a fast-paced, dynamic office.

Key Responsibilities:

  • Greet Rider Levett Bucknall employees and external visitors on arrival to the building;
  • Use of telephone system for routing of external and internal calls, ensuring all messages are passed to the appropriate person;
  • Management of meeting rooms, including booking, pre-ordering lunches, preparing refreshments, clearing and replenishing rooms after meetings;
  • Ensure that the reception area is presentable at all times;
  • Use of Outlook mail and diary system;
  • Ensure both kitchens are fully stocked with tea, coffee, water, sugars and milk;
  • Ensure both kitchens are kept tidy and presentable throughout the day;
  • Ensure reprographics area is kept tidy and presentable;
  • Ordering of all stationery for the office using the supplier core list, ensuring stock levels are maintained;
  • Order all business cards and booking couriers;
  • Ensure all office printers are fully stocked with paper each day;
  • Maintenance of visitors book and staff signing in/out record;
  • Sorting of incoming mail and distribution to team secretaries;
  • Sorting and franking of post in evening for collection by Royal Mail;
  • Processing supplier purchase orders;
  • Contact contractors for repairs to office equipment including lighting and photocopier, etc;
  • First point of contact for day to day suppliers/contractors;

Additional Responsibilities;

  • Assist Business with typing of correspondence, reports, minutes, etc. presenting work in accordance with Company guidelines, ensuring all documentation is referenced in accordance with guidelines Assist the Office Manager with the provision of Facilities Management services;
  • Assist business with typing of correspondence, reports, minutes, etc. presenting work in accordance with Company guidelines, ensuring all documentation is referenced in accordance with guidelines Environmental Representative;
  • Producing documents as required for the team including printing, photocopying, binding, attaching enclosures, etc
  • Assist other units in the office with support when required and when personal workload permits, in agreement with unit business Support
  • Any other related duties requested by the Business

  Person Specification:

  • Excellent communication skills, both written and verbal
  • Proficient in outlook
  • Health and Safety trained would be desirable
  • Excellent organisational skills
  • An analytical and methodical approach to problems
  • Be able to act quickly and decisively
  • Have a good eye for detail and attention to detail
  • Ability to use your own initiative as well as part of a team
  • Possess a Customer focused approach
  • Initiative and self-motivation
  • Excellent organisational and time management skills
  • The ability to work under pressure to meet deadlines
