We are looking for a Senior Personal Assistant who can provide comprehensive PA and administrative support to the General Counsel/Partnership Secretary and the London Office's Secretariat Team. Additionally the post-holder will work closely with the Managing Partner's EA so that together they can provide effective support to the Managing Partner and the General Counsel/Partnership Secretary.
The successful applicant will ensure a high level of client service and provision of quality PA support services whilst demonstrating the ability to manage both self and others in order to contribute to overall world class 24 hour administration service.

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The ability to interact with staff at all levels, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality, is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important. We are looking for an experienced career-minded PA, who has either legal sector or other professional services background.


Work alongside the General Counsel & Partnership Secretary to proactively manage his diary on a day-to-day basis, resolving diary conflicts and regularly communicating to ensure he is aware of changing priorities and commitments
Manage and coordinate all aspects of General Counsel & Partnership Secretary's external and internal meetings, events and travel, producing itineraries and providing meeting materials in advance
Act as gate keeper/dealing with all internal and external calls on General Counsel & Partnership Secretary's behalf
Monitor incoming emails/communications and file appropriately
Draft email correspondence/communications, liaising with Internal Communications team as necessary (including attending weekly meetings with the communications team on General Counsel & Partnership Secretary's behalf).

Work alongside the Executive Assistant, coordinating and organising agendas and paperwork for regular Management Committee, Department Manager and Partner meetings, for example: Bi-Monthly ManCom Meetings
ManCom/Junior & Equity Partner Monthly Lunches
Ad hoc ManCom/Department meetings
EP Vote meetings
Arranging New Lateral Meetings/Dinners
Coordinating with Johannesburg MP and Leadership Team

Maintain the general insurance for the Firm and actively be involved around the renewal processes each year
Execute the bulk renewal of Practising Certificates for the whole Firm
Work with the General Counsel & Partnership Secretary to produce and monitor the department budget each year
Provide support to the Internal Legal & Risk Associate
Provide support to ManCom Business Development Manager. Including supporting the Executive Assistant in preparing and collating materials ahead of bi-monthly ManCom meetings and assisting with ManCom projects as necessary
Management of general administration and personal matters e.g. expenses
Assist the Secretariat Team with the Business Recovery Plan both administratively and being a part of the disaster recovery process

Other ad hoc responsibilities

Assisting with administrative tasks associated with the Partnership e.g. loan letters, sabbaticals, filings at Companies House, Partnership Records, LLP register, Annual Return
Maintain ManCom/Secretariat intranet site and London Partner Page
Liaise with the Global Team preparing visa support letters for the London and Global offices
Process Dealing In Securities requests
Maintain the Firm subscriptions to charities, The London Law Society, Lord Mayor's office etc
Maintaining the LLP's SRA account
As part of the Management Support PA Team, assist in driving forward team initiatives and work closely with the PAs to ensure comprehensive cover across the Senior Management team during holidays and general absences

Job Holder Requirements

Graduate calibre or equivalent secretarial qualifications
'Can-do' and flexible attitude
Proactive, takes initiative
Consistently demonstrates secretarial competencies to the highest level in all areas
Strong technical skills
Successfully completed mandatory training modules as per PA training path; proficient in all software packages (Word, Excel, PowerPoint)
Excellent working knowledge of the firm's house style, document management system, templates and precedents
Previous senior PA experience within a professional services environment
High level organisational skills
People management and leadership skills
