Job Description
The Role: Examinations Officer
Reporting: Report to Deputy Head, Academic
Hours: 8.30am – 5.00pm Monday to Friday
Term Time plus 10 days of which 6 days will be in August for GCSE/A
Level results days.
Salary: £21,000

Administration and Organisation (External)

  • To be responsible for entries for external examinations to the examination boards for public exams, GCSE, AS and A Level as well as admissions tests as required by universities
  • To liaise with Heads of Department (HODs) on pupil entries. HODs are responsible for providing to the Examinations Officer full and accurate lists of students who are to be entered
  • Drawing up examination timetables as soon as is practicable in order to determine issues related to invigilation, study leave and general centre planning
  • To disseminate information about public exams to staff, pupils and their parents including the annual  provision of an examinations handbook that highlights conduct during examinations, the results  process and higher education support that is available
  • To liaise with staff, parents, pupils and to deal with complaints and queries about public examinations. This also includes resolving clashes
  • To sort out examination papers as they arrive and ensure their secure storage
  • To be responsible for the daily running of public examinations including practicals and to liaise with  the Director of Finance & Operations and the Deputy Head, Academic to ensure appropriate  accommodation, furniture and surrounding environment for all examinations. This also includes arrangements for controlled assessements at GCSE
  • To ensure that all public examinations are appropriately staffed with external invigilators
  • To be responsible for examination stationery
  • To oversee the copying and distribution of results by the centre office
  • To check certificates before they are handed on to pupils via Heads of Year
  • To retrieve costs of examination entries and request post results services from the examination boards, ensuring all examination charges are billed to tight deadlines
  • To organise the effective running of the Results Service for GCSE, AS and A2 including a presence on the day the centre is notied of public examination results
  • To work with the Deputy Head (Academic) to facilitate the briefing of pupils on examination procedures and conduct; this includes producing updated guidelines for sta and pupils
  • To check examination results information before publication regionally and nationally
  • To complete examination entries using IT wherever possible and ensuring manual back up as appropriate
  • Where feasible, to make arrangements for candidates who are not pupils at this centre to take examinations
  • To work closely with the Head of Pupil Support to ensure that provision for all SEN pupils is in place regarding their individual requirements, including application to awarding bodies for special  arrangements and meeting the resultant administrative demands that this brings (e.g. organising word processors, preparation of cover sheets)
  • To ensure that the school makes arrangements for those pupils qualifying for Special Consideration e.g. absence through illness etc
  • To keep abreast of national policy in relation to external examinations (annual guidance provided by JCQ) and informing the Deputy Head, Academic, of any relevant changes that may impact upon the school
  • To update and maintain policy documentation that relates to external examinations e.g. Controlled Assessment, Non-Examination Assessment & Appeals policies as well as contingency planning.

Administration and Organisation (Internal)

  • To make arrangements for all internal examinations: this includes pupil and staff timetables,  invigilation schedules and rooming. This will be done in close liaison with the Deputy Head particularly over issues of invigilation and cover
  • To oversee the administration and organisation of the Sixth Form Scholarship Examination
  • To oversee the administration and organisation of all baseline assessments in Year I (Midyis), Year IV (Yellis) and Lower VI (Alis)
  • To disseminate appropriate baseline data to teaching colleagues at the start of each academic year as well as subsequent to baseline assessments carried out during the course of the year

Data Analysis

  • To prepare the school’s Data Pack analysis tool in anticipation of publication of external examination results
  • To undertake an analysis of public examination results when the centre is notified using the Data Pack (AS/A2 Level and GCSE), and to inform the SLT as soon as administratively possible
  • To undertake analysis of baseline data generated through CEM assessments as required
  • To provide ISC and ISI with the necessary data that they require on an annual basis
  • To complete the annual DfE table checking exercise

Working with staff

  • To work closely with Heads of Department to ensure that public examination procedures are followed appropriately and in a timely manner
  • To act as line manager for staff recruited to invigilate external examinations, ensuring that they receive appropriate training, support and guidance
  • To recruit additional external invigilators as required
  • To deliver annual INSET training to new staff in relation to public examinations
