Admin Officer – Business development, Health & Safety and Procurement
Harrow
£16,000 - £20,000 plus benefits
Full Time (35 hours per week)
Our client is a campaigning organisation and a multi-project service provider supporting adults, young people and children with learning disabilities - and their families and carers - to ensure their needs, rights and aspirations are met.
The Core Business Unit undertakes those functions and internal processes that support other business units so they are able to focus on providing frontline services. These include providing information that supports decision making, Human Resource Management, compliance with legal and regulatory requirements, maintaining the financial integrity of the charity, maintaining appropriate Systems, processes and infrastructure.
Role Purpose
- Working with and supporting the Head of Core Business Unit to provide office services in key areas such as Business Development, Health & Safety and Procurement and working collaboratively to monitor and implement administrative systems, procedures and policies.
- Work in partnership with Staff, Managers, Volunteers, Board Members, Clients and their families/carers and Partners within the scope and aims of the organisation.
Reporting to the Finance & Admin Manager, you will be responsible for the following key duties:
- Collating, analysing and monitoring data and processes to support business development
- Processing and inputting into the quality assurance system
- Assist with the organisation and control of the ordering, purchase & maintenance of office equipment, supplies and stationery
- Identify potential contract areas where efficiencies may be achieved and renew corporate and collaborative arrangements, as required.
- Ensuring that all staff take reasonable care of their H&S and comply with the company’s policies.
- Ensure all necessary assessments, H&S documentations are maintained
- Manage the development and implementation of goals, policies, priorities and procedures relating to Health & Safety and Procurement
- Ensuring that policies are up to date.
- To prepare and issue purchase orders and to maintain information on suppliers, screens procurement requests, call for quotations, evaluate quotations and issue purchase orders
- Identify potential contract areas where efficiencies may be achieved and renew corporate and collaborative arrangements, as required.
- Ensure that the procurement procedures are in compliance with the Financial and Procurement Manual of the company
- Maintain records by implementing filing and retrieval systems that support management decision making
- Ensuring that all marketing and communication materials are consistent with agreed standard
- Updating and maintenance of the contents of the website
