Our client, a leading technical innovation company based in Cambridge, is looking for an administrator to join their Building Services team. This is a full time, permanent role, providing efficient administrative support to the Building Services team. The Building Services team performs a wide variety of tasks; some are routine and many are one off repair tasks. In addition, a variety of more specialised jobs are carried out by external companies on contracts: some are simple, e.g. window cleaning, while others are more complex like fire and security systems. As well as keeping the building operational, the requirements of the company continue to change and to grow. Sections of the building are undergoing refurbishment, with future expansion on the horizon.
Main responsibilities in this role will include:
- Be main point of contact for all Building Services and repair requests. Administrate Building Services Call Logging System and schedule requests with the team. Clarify requests with the requester where necessary.
- Liaise with contractors and suppliers to organise regular repairs and servicing.
- Be responsible for routine administration of Contractor Inductions, security arrangements and issuing of access passes.
- Organise contractor bookings with Reception and Security.
- Maintain records of Building Services equipment, maintenance schedules.
- Prepare purchase orders.
- Maintain Building Services databases, ensuring records are kept up to date.
- Keeping checklists, registers inventories up to date and fit for purpose.
- Keeping a calendar of routine Building Service tests, checks and inspections (weekly, monthly and annual) and making sure that these happen and the paperwork is raised.
- Logging of Permits to work.
- Liaise with SHE department to ensure contractor Rams and insurances are kept up to date.
The ideal candidate will have excellent administration skills and previous experience in an administrative role is essential. You will need strong IT skills and must be proficient in the use of Microsoft Word and Excel. You will have a well organised and systematic approach to work, able to keep tabs on several overlapping tasks while maintaining good records. Attention to detail is a key skill required for this position, along with excellent communication skills. You must enjoy organising and interacting with others.
