Job Title: Administration Officer
Location: Abingdon, Oxfordshire
Salary: £9,930 per annum (£19,860 FTE)
Position: Permanent, Part Time - 20 hours per week
The organisation manages the commercial activities of a range of high quality sport and leisure facilities linked with a leading independent day and boarding school for boys. They are currently looking for an Administration Officer to join their team in Abingdon to carry out the administrative functions to support the operational requirements.
Key Responsibilities:
- Provide full administrative duties as required including; liaising with individuals, groups and organisations, booking/programming facilities, invoicing and processing payments.
- Managing incoming emails, calendars, post, purchase orders and telephone calls.
- Composing and writing letters.
- Provide reception cover, as required.
- To maintain the organisation's quality files (operating procedures) and assist in reviewing these and keeping them up to date.
- Administer bookings from the point of sale to the delivery.
- Provide excellent client liaison to ensure seamless delivery to the client.
- Ensure that all preparations required for bookings are made in good time and are co-ordinated and communicated to all other relevant team members.
- To obtain customer feedback from bookings and response to customers to see where improvements can be made.
- Contribute to setting up and maintaining electronic quality system operating files.
- Ensure that invoices and booking fees are received on time and in accordance with the organisation's terms and conditions.
- Where applicable, ensure the smooth day to day running of residential lets, including liaising with the catering, estates departments and housekeeping etc.
- To support the functions of the Commercial Director, Business Development Manager and Marketing Officer.
- To undertake any other duties commensurate with the post's level of responsibility.
Education & Qualifications
- A minimum of 5 GSCEs or equivalent, including Maths and English
Experience
- A minimum of two years' experience in a similar role
- Proven experience of providing high quality administration support within a professional organisation
Knowledge & Skills
- Strong interpersonal skills and relationship management
- Excellent written and verbal communication skills
- Excellent IT skills, specifically Microsoft Word, Office and familiar with Google Drive and Gmail
