Property Manager
Our client is a subsidiary of a London based property management and services group. The group is headquartered in Richmond and has 16 offices throughout England. The group has revenues approaching £15m and 300 staff. The group was floated on the London Stock exchange in July 2006 with a strategy of organic and acquisition growth in residential property management. At the heart of this strategy is the provision of a personal quality management services offered through offices that are situated close to the managed buildings.
Our client currently has property management offices in Victoria, the City of London, Croydon, Richmond, Walton on Thames, Aldershot, Whetstone, Bath, Eastbourne, Kent, Essex, Putney and Knutsford. Also within the group is a firm of chartered surveyors based in Richmond and a buildings insurance broker Alexander Bonhill located in the City of London.
ROLE
The group seeks to recruit an experienced property manager to assist a Team Leader of Property Management in our South East region.

MAIN DUTIES AND RESPONSIBILITIES
Provide full professional property management services for a portfolio of freehold / leasehold developments and individual properties on behalf of freehold clients, Developers and Resident Management Companies.
Property Management:
- Prepare all service charge budgets
- Deal with all leaseholder enquiries appertaining to the development
- Handle all leaseholder correspondence
- Handle all lease assignments/ solicitors enquiries related to the portfolio
- Attend Board, AGM/EGM and residents meetings, including evening meetings
- Undertake regular site inspections/meetings/surveys in accordance with the contractual obligations of additional visits as required.
- Ensure that client buildings are properly maintained instructing (in the name of the client) approved contractors to carry out repairs and replacements.
- Where appropriate ensure that the internal contracts manager is properly instructed to manage the process or ordering repairs and replacements from 3 rd party contractors.
- Ensure that all properties in the portfolio are insured including dealing with all claims, renewals and enquiries regarding the policy. Assist the insurance coordinating department to process all renewals and new business.
- Prepare and agree scope of works for repairs to the portfolio and instruct surveyors/contractors as required, follow through all instructions issued and ensure completed in time, cost and quality parameters.
- Developing changes to estate management policy and procedures
- Provide all other necessary professional services for the portfolio in the interests of good estate management and the customer services approach.
- Assist accounting department to ensure that service charge accounts are prepared well within statutory obligations.
Client Services and Team Support:
- Ensure all client and tenant calls are returned within 24 hours of receipt.
- Ensure all client emails are returned within 3 days of receipt.
- Ensure that all client letters are replied to within 7 days of receipt.
- Ensure that all complaints from clients or tenants are registered on the customer complaints log. Determine the reasons for the complaints and ensure that a professional and timely response is provided to the client or tenant.
- Assume overall tenant arrears responsibility. Ensure that all client service charge account balances are maintained at a level to enable the ongoing management of buildings. Ensure that arrears are managed and where appropriate assist the central arrears department to conduct the Co-ordinate all legal proceedings for ground rent/service charge arrears and other breach of the lease, Including attendance at Court to give evidence as necessary
- Ensure that the client is aware of Out of Hours Emergency service - this may involve taking calls on the Emergency Out of Hours Mobile (on a rota basis with other members of the Property Management team)
- Support, advise and motivate members of the team
- Monitor performance of property managers/assistants in the team and undertake appropriate reviews, mentoring, and appraisals.
- Provide support to other junior members of staff.
New Business
- Provide support to Business Development Department as follows:
- Meeting with clients to discuss the management requirements for new sites
- Preparing service charge estimates for new sites using site plans and technical specifications
- Preparing reports on the most appropriate service charge structure
- Acting as Project Manager for larger new developments and providing a management input during the design process.
Personal Development:
- Attend training courses to keep abreast of changes in working practices and legislation and provide briefings to other members of staff.
