Job Elements: -

• Acting as the first point of contact providing professional front desk reception service and providing a comprehensive, confidential and professional support service to the Senior Management Team.
• Managing the diary of the MD in relation to visits, travel and management meetings. Drafting presentations, letters and meeting agenda’s and minutes for the Senior Management Team. Preparing documents for and co-ordinating customer/important visitor events.
• Responsible for all Travel arrangements for Staff, including management of the provider
• Operate switchboard to provide a quick and effective response to all external and internal calls.
• Managing and booking internal and external rooms and conference facilities, ensuring that rooms are suitable for the requirements.
• Manage visitor requirements to include buffets, refreshments, travel, agenda’s, site tours, IT liaison etc.
• Manage incoming and outgoing mail and postal equipment.
• Managing a cost effective stationery sourcing and ordering process, ensuring a stock of required items.
• Providing clerical support for Senior Managers as required
• Assisting the HR department as required to include general administration of recruitment; management of the database and arranging interviews.

The ideal candidate will have:

• Educated to equivalent of A-level standard in English and Maths
• Microsoft Office Suite skills – PowerPoint, Excel and Word (Advanced level)
• 5 years’ experience in a customer facing role demonstrating experience of managing sensitive information at Director level
• Fluent in English language and well presented
• Excellent planning and organisation skills
• Proficient in switchboard
• Accurate with good attention to detail
• Tactful, discrete and respect for confidentiality, experience at working for Senior Manager’s and with confidential information
• Able to remain calm and professional at all times and experienced in dealing with persons at all levels in the organisation.
