The primary function of this Data Manager role is to provide and oversee daily administration support for the company.

The role is responsible for coordinating the administration life cycle of learners working towards their qualifications, including carrying out eligibility checks; validate starts, and monitoring compliance.

As head of the Administration team and playing a hands on role, you will provide day to day support for all areas of the business and ensures a professional service is delivered at all times. The role closely interacts with the team to ensure cover is provided to meet deadlines.

Providing a full support service to Directors, Managers, Training Advisor’s and Internal Verifiers which includes (but is not limited to) the following:

• Full control of the Maytas system.
• Quality assurance of incoming enrolment and review paperwork.
• Ensuring that the registration of learners occurs monthly and the respective report is issued.
• Production and maintenance of learner files, including all necessary paperwork required for audit, quality checks and contractual compliance.
• Responsible for ensuring that the certificates for learners are applied for weekly upon completion of the achievement report.
• Responsible for inputting all change of circumstances, exemptions etc. on Maytas.
• Responsible for inputting all outcome claims on to Maytas on a weekly basis.
• Supporting the Compliance Manager in providing evidence for audits and monthly reports.
• Supporting the Finance Department with the processing of monthly claims.
• Liaising with awarding bodies as necessary to ensure flow of information.
• Ensure that all award body certificates when received are logged and passed to the relevant Regional Manager with receipt batch headers in an accurate and timely manner.
• Supporting the Internal Verifiers in providing evidence for EV visits.
• Taking phone calls and providing a “customer support” function.
• Checking funding documents and advise team members of relevant changes.
• Maximising the potential of Maytas and suggesting improvements and better usage ideas to benefit the business.
• Issuing Portfolios to Advisors for learners within one week of receipt of requests.
• Error reporting to regional management on a weekly and monthly basis.
• Maintain the smooth running of the office, ensuring there are adequate supplies of stationery and contractual paperwork and the office environment is kept organised, clean and safe.
• Generate and collate reports required for managers and the Board.
• General office administration.

• Participating in and contributing to regular team meetings to ensure up to date knowledge of the direction of the department and company.

• Contributing to a team-working ethos both within the team and wider departments.
• Developing personal skills and capability through on-going training, as provided by the company.
• Manage the performance of departmental team members against agreed performance measures.
• Identifying and implementing training and development of the team.
• Allocation of day to day duties to team members.
• Allocation of targets to team members.
• Monitor achievement of agreed performance targets and provide feedback to Management / Board on a regular and timely basis.
• Provide support to team members to ensure their continued development and effectiveness including identification of any training required.
• Conduct team member reviews and appraisals to agreed timetable.
• Ensure that team members maintain good working relationships with internal and external customers and can identify business opportunities for the whole company.
• Supervise the input of data onto the relevant databases.
• Monitor team members absences and holidays.
• Assisting in the recruitment of additional departmental members.
