Job Title: Business Support Administrator

Location: Weymouth, Dorset

Salary: Competitive

Position: 6 Month Fixed Term Contract

The company's Printing Solutions Division is the market-leading provider of brand printing technologies. The range of products and services includes advanced materials deposition technologies and support solutions used for a variety of electronics assembly, semiconductor packaging and alternative energy applications.

The role of the Business Support Administrator is to provide efficient administration support to all departments as agreed in the CSLA (Customer Service Level Agreement). You will also support and maintain all areas of responsibility that are owned by UK Business Support - Reception, Travel, Engineering Support, Cost Savings, Stationery, Hospitality & UK Administration support.

Key Responsibilities:

  • Updating databases - inputting data and retrieving data.
  • Updating spreadsheets - regularly or occasionally.
  • Taking and distributing minutes from meetings - as a Word document or database update
  • Sending meeting invitations to attendees.
  • General daily administrative tasks (delivering post / issuing resources / booking rooms / advising Engineers on procedures / raising PO's etc.)
  • Maintain Engineering processes (Functional Specs, Technical reports etc)
  • Maintain Stationary (audit, order etc.)
  • Maintain Office layout using D.O.S.M. & support 5's in office area
  • Update quality procedures (making amendments, creating visio diagrams)
  • iDoes Glovia updates
  • Documentation control
  • Project Support (editing calendars, assisting with creation of technical reports, test plans, amending E002 checklist and relevant sub-checklists, raising DCR's etc)
  • Creating, progressing of and delivering reports, including presentations.
  • Provide an identified and agreed service (as per CSLA) to system test.
  • Provide cover for reception as and when applicable
  • Assisting with Travel arrangements
  • Ordering (stationery etc)
  • Providing assistance to senior management
  • Creating and maintaining KPI's
  • To help maintain and support all processes recorded in Control.

Key Requirements:

  • PC literate with good typing skills. Proficient in Microsoft Office applications particularly Word and Excel
  • Good working knowledge of Lotus Notes (or other email based system), Glovia (or other ERP) and the Merlin database (or other databases) and ability to learn.
  • Good background in the field of administrative processes, with a minimum of two years' experience in a similar role.
  • Ability to communicate effectively and confidently with people at all levels throughout a global organisation. This may be face to face, by telephone e-mail or in writing.
  • Ability to build stable and useful working relationships.
  • Demonstrate a professional attitude and approach to work in an office environment.
  • Evidence that the individual can work effectively either under their own initiative or as a member of a team.
  • Ability to organise own time and workload to deliver against tasks set by others, with a short to medium term horizon.
  • Ability to remain calm and deliver under pressure.

Desirable Skills:

  • Experience of working in a multi-national corporation, or other form of interaction with non-native English speaking colleagues.
