School Administrative Assistant – Level 2

Excell Supply is Wales’ leading Education Specialist based in Mold, Flintshire. We are recruiting for a mainstream primary school in Flintshire who are looking for an Administrative Assistant to provide routine clerical, administrative, financial support to the school. This position has an immediate start and will be on a temporary basis, 17 hours a week.

Specific tasks and responsibilities will include:

  • Undertake routine financial administration in accordance with County Council Financial regulations, Standing Orders and Audit procedures.
  • To act as a first point of contact to parents on all matters relating to pupils. i.e. liaising with parents/staff
  • To undertake receptionist duties on behalf of the Headteacher and school staff, ensuring that telephone calls and visitors to the school are dealt with in a courteous and efficient manner, and to ensure minimum disruptions to class routines.
  • Assist in arrangement of supply for teachers and support staff.
  • Maintain manual and computerised records/management information systems.
  • Produce lists, information and data as required.
  • Produce the bulletin and undertake IT based tasks such as communications with parents. i.e. Schoop, twitter
  • To assist in collation of attendance data.
  • To assist with arrangements for visits by school nurse, photographer and to support staff in the arrangement of school outings.
  • Operates the school snack and maintains supplies for the school shop.
  • Assist with first aid/welfare duties for pupils.
  • Sort and distribute mail.
  • Maintains stock and supplies for curriculum, cataloguing and distributing as required.
  • Contribute to overall ethos/work/aims of school.
  • Participate in relevant training events arranged by the school.
  • To be responsible for the ordering of stationary and office supplies in line with agreed minimum stock levels

The school are looking to appoint someone who:

  • Possesses 4 GCSEs, Grade C or above including Mathematics and English, or relevant experience.
  • Demonstrates good keyboard/computer skills and to be able to use ICT packages.
  • Has the ability to work under own initiative and to show tact and diplomacy when dealing with staff and visitors.
  • Demonstrates confidentiality at all times and can be relied upon by all members of staff.
  • Has the ability to relate well to adults and children.
  • Has the ability to self evaluate learning needs and actively seek opportunities to professionally develop.
  • Has knowledge of relevant policies and codes of practice and awareness of relevant legislation
  • Has an enhanced DBS certificate in place

Previous experience of school /local government administration would be an advantage.
