Main Duties and Responsibilities:
To provide professional, effective and efficient secretarial and administrative support to the Headmaster and the Senior Leadership Team;
To type, collate and distribute correspondence and emails accurately, in a timely fashion, to parents and staff;
To attend staff meetings, take and type up minutes;
To manage the Headmaster’s diary, make appointments and arrange meetings;
To assist the Receptionist, answer telephone calls and cover at the Main Reception Desk;
To take telephone and other messages from internal and external sources and, by using discretion, decide on course of action depending on urgency and importance.
Additional Responsibilities:
To liaise with the Governing Body, type reports, agendas, minutes of meetings and policy documents as required;
To maintain office systems to ensure workload is prioritised and completed. To liaise with administrative support staff accordingly. Daily filing as required;
To ensure that the Headmaster is aware of future commitments and all relevant paperwork is co-ordinated, initiating action where appropriate. To make travel arrangements when required;
To prepare and distribute weekly e-bulletins via email to ensure a good level of communication between the School, Staff and Parents;
To liaise with academic, administrative and support staff;
To maintain the strict confidentiality at all times, exercising tact and discretion;
To manage the Staff Filing system and keep abreast with the Independent Schools Inspectorate’s policies in terms of staff recruitment.
General Responsibilities:
To comply with student welfare, safeguarding, health & safety policies and procedures and all related training and support needs;
To maintain high professional standards of attendance, punctuality and appearance;
To conduct positive and courteous relations with students, parents, colleagues and visitors;
To work towards and support St Teresa’s vision and objectives and play a full and active part in the school.
