Paralegal/Business Affairs Executive

Leading Media Agency – based in c.  London/global presence is looking to bring on board a Business Affairs Executive whose main remit will be to support the commercial team by providing key administrative and logistical support.  He or she will assist with the legal and commercial aspects of contract preparation and negotiation.

The Role

  • Supporting the team by providing key administrative & logistical support
  • Preparing contract summaries for active client contracts
  • Drafting short form legal documents (for example, side letters, short form local contracts, NDAs, variation letters)
  • Assisting with contract reviews
  • Assisting with preparation of template documents with a view to more involvement in drafting legal documentation
  • Heads of terms
  • General terms of business
  • Letter of appointment
  • Updating local and international templates
  • Preparing guidance notes
  • Assisting with putting in place better legal processes and keeping the business informed of the same
  • Assisting with enforcing group policy issues and codes of conduct
  • Actively managing relationships between the Commercial team and other business heads/departments generally.
  • Liaising with finance and other business heads to ensure contract compliance
  • Co-ordinating NDAs
  • reviewing draft NDAs and amending as necessary
  • preparing NDAs/chasing signature of NDAs
  • Commercial reporting as required, including collating and preparing (quarterly) activity reports
  • Managing the contract database, filing contracts and ensuring that documents are filed/recorded correctly

The Person

  • Ideally degree educated.  Law degree advantageous
  • You may for example be currently working as a Paralegal or Contracts Manager.
  • Adopt a pro-active attitude. Need to be confident/assertive but no aggressive
  • Prioritise tasks effectively. Very busy/pressurised dept.
  • Keep relevant team members informed on critical timelines and on status of matters for which he/she is responsible
  • Ensure work is prepared to help wider team meet deadlines
  • Act as a support to the team to ensure delivery of targets and objective
  • Remain calm under pressure
