Temporary, Full Time, 3-6 Month contract

To provide an effective administration service, promoting a high level of customer service. To support the various functions within the Company, including Portal Team and Litigation Team, by answering phone calls and updating clients where necessary.

Accountabilities:

Data Input - Ensure data is processed in an accurate and timely manner.

Quality Service - Provide a quality service to the client ensuring all post received is actioned according to standard procedures and within agreed timescales to ensure customer satisfaction.

Administration - Complete necessary administration, e.g. productivity, case notes etc to ensure up to date records available.

Managing Self - Manage own performance and personal development

Pride In Place - Pay attention to Pride in Place for self-ensuring that own work and rest areas are kept clean and tidy 'clear desk policy is adhered to and all elements of company policies are adhered to .

Key Tasks:

Data Input

  • Utilisation of all systems and tools
  • Ensure all data recorded is factual and punctually correct
  • Be signed on ready to start work at the start of the shift
  • Maintaining customer database

Telephony

  • Make outgoing calls in a professional manner.
  • Good communication skills
  • Taking incoming overflow calls

Quality Service

  • Deliver a quality service.
  • Identify process improvements.
  • Maintaining accurate records.

Administration

  • Answering phones calls from clients/Third party insurers.
  • Collect all post from the Reception area and open, scan and file away.
  • Collection, scanning and distribution of incoming faxes
  • Check and clear printers every 30 minutes. Ensure office printers are fully stocked with paper and ink at all times.
  • Collect and shred all sensitive waste.
  • Ensure all files are correctly filed away on a daily basis.

  • Deliver against any agreed actions and provide timely feedback
  • Prepare and attend team meetings as requested
  • Take ownership for personal development
  • Ensure excellent personal organisational skills
  • Manage workload and achieve deadlines
  • Manage personal workloads and stress
  • Adhere to shift pattern
  • Ensure all company policies are adhered to at all times, e.g. attendance policy
  • Annual leave is requested in correct format and within agreed timescales - 7 working days.

Pride in Place

  • Ensure postal area is kept clean and tidy and all deliveries are stored away.
  • Ensure desk is kept clean and tidy
  • Ensure company uniform or business dress is worn during working hours
  • Ensure communal areas are kept clean and tidy
