Title of post: Therapy Administration & Support
Line managed by: Therapy Manager
Summary: To provide comprehensive support to the Therapy Manager and therapy team with administrative and housekeeping support tasks, ensuring an effective and efficient service at all times
Main duties and responsibilities:
- To provide administrative support to the team, including:
- Editing patient reports, typing up patient information
- Maintaining various logs and documents such as therapist timetables, patient literature, and equipment inventory
- Recording the goals set and achieved in therapy as per the agreed system
- Compiling service audit information as required
- Collating information, articles, catalogues etc of interest to the therapy team
- Photocopying
- Filing and tracking files whilst out for use
- Logging any equipment out on loan and ensure its return
- Taking phone messages
- Typing up Minutes of therapy team meetings
- Monitoring stationery orders for therapy team

- To provide IT support to the team, including:
- Downloading video and photo files to therapist pcs and ensuring cameras are kept in good condition
- Creating files, folders, documents and spreadsheets as required
- Working with patient database and liaising with colleagues to ensure the integrity of the information held
- Creating materials for use in therapy sessions, from specialist software programmes
- Setting up A/V and computer equipment as needed for courses and meetings
- Maintaining and updating laptops used on outreach
- Liaising with the organisation’s IT support company on behalf of the therapy team as required
- To provide active support for the provision of therapy sessions, including:
- Preparing therapy rooms ready for sessions (daily)
- Tidying up therapy rooms after sessions
- Disinfecting toys and equipment after use
- Maintaining all equipment and accessories in a safe and hygienic manner
- Helping in sessions as requested, taking photographs or video or getting additional equipment
- Preparing equipment bag for outreach sessions in accordance with therapists’ requirements
- Checking equipment bag on return and disinfecting/putting away equipment
- Collating information and forms returned with equipment bag
- Monitoring the toys and equipment, repair, replace, and keep track of all resources
- To liaise with other teams and departments
- Providing the Centre Director and the Management Team with any information required
- Working with Administration department to ensure patient records are maintained and correct, and use of available therapy rooms on a daily basis is planned, agreed and circulated
- Working with the Fundraising team to provide them with any information they require, including preparation for VIP visits
- Attending staff meetings and team days
- To carry out additional duties including:
- Participating in therapy in service training sessions
- Preparing rooms for tutorials, training courses and meetings
- Ensure that towels etc used in therapy are laundered frequently
- Maintain confidentiality at all times and ensure adherence to Bobath Children’s Therapy Centre Wales’ strict confidentiality policy
- Any other reasonable tasks as may be required

NB:
This post may involve the handling of heavy loads. Candidates should be aware that the role can be at times physically demanding. - Good IT skills are essential, including Microsoft Office, Outlook, and the ability to use specialized or custom programmes
- At least Intermediate level ability in Excel and Word
- Knowledge of using digital cameras and video, downloading and editing material
- Ability to set up basic connections using laptop, projector, PA systems, etc for colleagues doing presentations and teaching events
- Must be very tidy and organized, with a high level of attention to detail
- Must be particular about hygiene and cleanliness
- Willingness and ability to liaise and communicate well with others is essential, both internally and externally
- A proactive approach to supporting the team is encouraged, ability to work well for periods of time unsupervised is essential
- Sensitivity, tact and understanding of boundaries is essential when speaking with patients and their families
- Experience in a medical setting would be an advantage but is not essential
- Experience in a charity environment would be an advantage but is not essential
- Willingness to undertake physical work is essential
- The post holder should be willing to represent the charity on occasion and as appropriate, and at all times behave in a manner that reflects well on the charity
