Print Services Manager
Print Services Manager - Initial 2 Month contract with possibility of temp-2-perm
Experience required for post:
Proven experience of working in a busy reprographic environment; working with different file formats on both MAC and PC platforms. A sound knowledge of litho and digital finishing processes. Proven experience of retail, till and cash handling systems. Proven experience of staff management.
Overall purpose of post: Provide a fully inclusive Print Service to the organisation which includes provision of a high quality print, reprographic and finishing service and ensuring a responsive, efficient and effective service is provided to meet the needs of all customers. In addition, overseeing day to day workload management of the print service and cross team support with the Post & Distribution Manager, to ensure synergy between the operational processes.
Main duties:
Working with the Head of the Managed Print, Post & Distribution Services to contribute towards strategic planning, setting of objectives, financial targets and the integration of the postal/distribution and Managed Print Services. In addition, to contribute to the continuous improvement and development of the combined services, incorporating changing customer requirements with continual advances in technology
To influence and uphold the standard operating procedures which support the production of high quality printed materials, and to use the most effective methods, practises and software to support high quality service delivery.
Participate in and contribute toward keeping up to date with the latest developments in technology, and provide clear guidance to colleagues on the use of the new technology and software, to ensure a consistent approach and continuing delivery of service.
To be responsible for the provision of a seamless customer care service to all customers, developing the customer base where possible supported by a variety of communication methods including the provision of marketing materials, advice and guidance through the website.
Line Manage the digital technician staff within the print section of the service, and work with the Post & Distribution Manager to enable cross team working, and sharing of resources, as required:
a)Contributing to the recruitment and selection process
b)Managing the priorities and objectives of the team in line with the agreed strategic objectives
c)Undertake twice yearly staff development reviews, which feed into the Directorate's overall learning and development plans
d)Managing day to day activities including regular team meetings, approval and recording sick leave, annual leave and TOIL, to ensure that resources are deployed as efficiently as possible to allow cross working with the Brookes Print, Post and Distribution teams.
Responsibility for ensuring the operation and general maintenance of all print and finishing equipment is maintained and software is updated, this includes:
a)All digital leased copier equipment, toners and other consumables
b)Large format plotter and inks
c)PCs and Macs and associated software
d)Guillotines, binding and other finishing equipment
e)Ensure that all systems are in place to allow regular recording of data relating to post and despatch services are made in a timely and accurate manner, reporting on performance volumes and data integrity
f)providing quotations and agreeing production schedules
Responsible for ensuring robust stock & order management - using 'lean' methodologies, control and record stock wastage and undertake a monthly stock take and the reconciliation process
Undertake a range of financial responsibilities to support the strategic objectives of the Print, Post & Distribution Teams, including:
a)Verifying the accuracy and reconciling Till income to Till reports and reconciling with the Banking Deposit Sheet.
b)Identifying, recording and immediately reporting any reconciliation differences
c)Ensuring that all internal recharges are calculated, approved and entered onto central finance system in an accurate and timely manner
d)Providing operational and financial reports and service performance data on a regular basis and to a standard acceptable to the Head of Print, Post & Distribution Services.
e)Ensuring procedures are followed regarding the safe storage of monies overnight using the Safe and adhering to the organisation's financial and security regulations.
f)Raising purchase orders using the online financial system ready for authorisation and monitoring expenditure of supplies and services
g)Undertaking reconciliation of both delivery advice notes and invoices
h)Processing cash, cheque and credit card payments
i)Operating the Cash Till and PDQ machine
Undertake ad hoc project and work as directed by the Head of Managed Print, Post & Distribution Services, UK Marketing Director or Director of Corporate Affairs, within the capabilities and commensurate with the level of responsibilities of the post holder.
