About the Post:

The Database Operations Officer is responsible for operating, maintaining and developing the charity's fundraising database to support the organisation's five year strategy and beyond.

As a singleton post, the successful candidate will be someone who has gained the required attributes listed below in their career to date, but s/he is still a highly motivated hands-on operator' at heart. This is a hands-on role and will require a passionate candidate.

By way of example - immediately after appointment the successful candidate will be expected to conduct a root and branch review of all current practices and procedures; implementing change and best practice as necessary. Subject to the outcome of this exercise, s/he will be expected to advise the Senior Management Team (SMT) whether the current database remains fit for purpose, or whether migration to another platform is required. If migration is required, s/he will be expected to project manage the task in conjunction with other stakeholders.

Responsibilities

  • Overall management and development of the (currently) Progress CRM database.
  • Establishing protocols and processes to ensure the database contains high quality and relevant data.
  • Ensure efficient management of data for fundraising and marketing activity. Performing data selection, segmentation, results recording, analysis and report production; including - but not limited to - campaign analysis, attrition analysis, LTV and supporter profiling.
  • Liaise with external agencies on the transfer and manipulation of data, ensuring compliance at all stages.
  • Data research, analysis and report writing from internal data intelligence and external sources as required. Collate, analyse and supply results of appeals and donor information to help with strategic planning.
  • Assist the Finance Director with financial and fundraising information, and other reporting as required. This includes the interface with Accounting Software, other Applications and Management Information Systems (MIS), eg Banking, Gift Aid, etc.
  • Develop and maintain data import and export processes; maintain attributes, business rules and customise the database to meet the evolving requirements of the charity.
  • Provide support to users across the organisation in their use of the database, ensuring that data capture and data management is compliant and best practice is employed and maintained.
  • Provide training & support on the database and maintain up to date user guides. Promotion of database principles - work with fundraisers to improve their reporting skills, and identify areas for improvement.
  • To ensure all data is processed, stored and protected in accordance with the data protection policy and the requirements of data protection legislation.

Person Specification

Essential

  • Strong commitment to SOS Children's Villages UK purpose and values.
  • Demonstrable evidence of having successfully operated a fundraising database for a minimum of 3 years.
  • Proficient and experienced in database marketing using advanced segmentation and selection criteria.
  • Experience of managing data: manipulating and processing large Data files (eg csv, Excel).
  • Experience of analysis and interpreting data - SQL Scripting and advanced data interrogation via querying/reporting tools.
  • Advance knowledge of MS Excel functions (Pivot tables & V-lookups) and advanced knowledge of SQL.
  • Ability to explain technical concepts efficiently and clearly and to be able to communicate clearly with non-technical users when delivering training and support to individuals or to a large group of people.
  • Flair for interpreting and presenting complex or detailed information in a user friendly, easily accessible way.
  • Sound understanding of the Data Protection Act in relation to relational databases and compliance.
  • Understanding of data entry requirements to ensure and enforce data quality and integrity of the database.
  • Ability to work methodically and accurately with excellent attention to detail.
  • Ability to work under pressure and meet tight deadlines.
  • Excellent organisational skills; the ability to manage a large number of tasks concurrently.

Desirable

  • Experience of Progress CRM system.
  • Project management skills.
  • Knowledge of Microsoft SQL Server 2008.
  • Experience of project managing database migration projects.
  • Educated to degree level.
