Position:                    Receptionist/Administrative Support

Reporting to:            Customer Service Manager

Salary:                       £15,000

Hours of work:         Monday to Friday 9.00am – 5.00pm  37.5 hours per week

Other general office tasks

Qualifications: 
A qualification in office admin would be desirable (NVQ2)
At least one year of experience in a similar role

Key duties include

Processing:

•    Delivering incoming mail to each department
•    Ensuring outgoing mail is ready for collection
•    Handling phone calls efficiently
•    Take detailed messages
•    Maintaining/ordering stationery
•    Assist with deliveries to reception
•    Induct contractors (checking insurances, permits etc)
•    Preparing meeting rooms inc. refreshments, flipcharts etc
•    Allocate and maintain calendars for meeting rooms
•    Assisting with internal mailings eg Comfort Chat
•    Inputting catalogue requests
•    Recording catalogue pack count
•    Archiving

Other Duties
•    Help with ad-hoc tasks and assisting other members of staff eg:
     o    Putting up Christmas tree
     o    Watering plants
•    Offering/making tea/coffee for guests
•    Keep reception area clean and tidy 
•    Ensure visitors are signed in and have lapel badges in place
•    Actively seek additional tasks when reception is quiet
•    Answering buzzer at the gate
•    Taking delivery of and putting away ASDA order
•    Sandwich orders for factory
•    Access to Managers’ calendars to check schedules etc
