An Executive Assistant is required to join a leading expert in immunoassay development and manufacturing services, and provides an extensive portfolio of products and technologies to the global diagnostic markets.

The Person

They are looking for an Executive Assistant to provide office based administrative support to the Chief Executive. This role will span the remit of support to the CEO of the Group across multiple business units and is a pivotal role within the business.

The Role

To undertake a full range of administrative support services including regular handling of sensitive and highly confidential material, with a minimum of supervision.

- Devising and maintaining office systems, including data management and filing
- Arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations
- Screening phone calls, enquiries and requests, and handling them when appropriate
- Meeting and greeting visitors at all levels of seniority
- Organising and maintaining diaries and making appointments
- Dealing with incoming email, faxes and post, often corresponding on behalf of the CEO
- Carrying out background research and presenting findings
- Producing documents, briefing papers, reports and presentations
- Organising and attending meetings and ensuring the manager is well prepared for meetings
- Liaising with clients, suppliers and other staff.
- Line management of the Travel Coordinator and Receptionist
- Meeting and greeting the CEO's visitors and arranging refreshments when required
- Planning and organising senior board events on and off site
- Arranging company/staff/client gifts

Basic Requirements:

- Experience of working in an office environment
- Excellent attention to detail and accuracy at all times
- Confident Telephone manner
- Computer literate, especially with Word, Outlook, Excel and PowerPoint
- Ability to maintain confidentiality at all times
- Experience of supervising staff in an office environment
