An exciting opportunity has arisen for an Administrator for expanding educational publisher ZigZag Education in their busy office in Westbury-on-Trym, Bristol. Must be numerate, IT literate, and organised. The position offers a fantastic opportunity to gain experience, knowledge and an understanding of business support functions including Accounts, IT, HR, Finance and Administration.

ZigZag Education develop, market, sell and distribute publications to educational institutions in the UK and internationally. The Finance and Business Support Department carries out the Finance, Accounts, IT, Human Resources and Administration functions to support the Development, Customer Services and Marketing Departments. You will assist in a range of specific activities in the Finance and Business Support department.

The role involves a four week training period and has on-the-job training provided.

Typical Accounts tasks might include:

  • Assisting with accounts payable and receivable
    • Enter payments ans produce payment reconciliation
    • Invoices – matching, batching and entering onto system
    • Writing supplier cheques for invoice payments
  • Credit control
  • Assisting with internal audit procedures

 

Typical IT tasks might include:

  • Ad hoc first line IT support and answer questions face to face and email from internal colleagues and external customers
  • Take ownership of user problems and be proactive in their solution
  • Setting up hardware (e.g. PCs, laptops, iPads, printers) and software (Microsoft applications and Apple technologies) with the maintenance of records
  • Daily and weekly backups
  • Following up website errors

Typical Administrative responsibilities might include:

  • Data entry
  • Maintaining the author and sales database
  • Assisting with recruitment admin e.g. putting adverts on the website
  • Updating and maintaining Social Media accounts
  • Ad hoc personal assistant jobs for the two Directors
  • Answering the phone on occasion

 

Other work as part of the team

As a small business you may from time to time need to support other departments as required. You may also be required to undertake training in areas suitable to your qualifications and to develop skills and to work in different areas of the business.

In addition to completing training successfully you are required to complete a 6 month probationary period.
