Green & Co are a forward thinking and proactive Chartered Certified Accountancy Practice with a diverse range of successful clients and an excellent team environment. In the last 12 months we have been awarded Investors In People Gold and have also won Independent Firm of the Year - Wales at the British accountancy Awards. We are now looking for someone to join the busy Client Services team.
As owner occupiers of Pembroke House, The Business Centre with Serviced Offices, the Client Services team are responsible for the smooth running of both businesses. Reporting to the office manager, the successful candidate will be part of a six person team and will be operating in very busy surroundings, the ability to work in an environment of constant change and yet keep a focus on the task in hand is essential for this role.
Duties could include but not be limited to:-
Acting as first point of call for tenants of Pembroke House
Raising monthly invoices using Sage 50 accounts
Managing and allocation and billing for multiple meeting rooms
Issuing contracts and setting up utilities for new tenants
Attending networking meetings to represent both Green and Co and Pembroke House
Maintaining and updating company policies
Company Secretarial duties, including share transfers, annual returns and share reclassifications.
Client Engagement process, to include the production of engagement letters and money laundering requirements
Social Media management, Facebook, Twitter, Blogs and Newsletters
Attending, preparing agendas for and taking minutes at various meetings
Dealing with emails and post in a timely manner
Liaising with clients, in person, by phone and letter/email
Answering three separate telephone systems in a timely and appropriate manner
Prioritising workload from a number of partners / managers
Producing accounts documents and letters to be sent to clients, working to strict deadlines
Managing the electronic 'tasks' system to ensure client documents are returned within time deadlines.
Scanning and retrieving documents in the electronic filing system
Covering reception when required
Dealing with post both inwards and outwards
Liaising with design and public relations companies to market both Green and Co and Pembroke House
Co-ordinating charity and team building events
Taking ownership of all webinars booked and setting up on computers
General daily IT management and problem solving
To be considered for this role you will:
• Have proven experience of working in a busy office environment.
• Be educated to degree standard
• Have excellent verbal and written communication skills.
• Be proficient in using Microsoft Office (Outlook, Word, Excel).
• Have accurate typing / proof reading skills.
Having experience of working in the Accountancy / Legal sector would be very advantageous in this position
